WHAT WILL YOU DO?

  • Making the archives (electronic and physical) easily accessible to a wide range of users.
  • Ensure that all records that are stored electronically are listed in a coherent way and under set sections.
  • Evaluating, selecting, retrieving, and arranging both electronic and physical archives.
  • Storing and effectively preserving the perishable documents that are required so.
  • Contribute to the development of a tagging and filing system, using international and national good practices, to ensure that the contents of the scanned files are easily accessible and searchable.
  • Contribute to the development of the archiving database.
  • Prepare record-keeping systems and procedures for archival research and for the retention or destruction of records.
  • Support the maintenance of office files, documents, and records in accordance with established systems and processes so that information is current and readily available for staff.
  • Undertake standard data entry tasks in accordance with defined systems, to ensure information is organized and readily available for the business team.
  • Ensure timely and proper disposal of the records as per the related policies and procedures.
  • Perform any other related tasks as may be assigned by supervisor.

DO YOU MEET THE MINIMUM REQUIREMENTS?

Education:

  • Completion of secondary school education.

Experience:

  • Three or more years of experience in general administrative work within Government Institutions, UN environment, international Organization or private sectors.

English proficiency:

  • Intermediate level in oral and written communication in English and fluency Somali.

ARE YOU COMPETENT FOR THIS JOB? KNOWLEDGE AND SKILLS DESIRED:

  • Knowledge of archival principles, procedures, and standards.
  • Familiarity with database management and cataloging.
  • Experience in preservation and conservation techniques
  • Strong written and verbal communication skills.
  • Ability to work independently and as part of a team.
  • Must display a high level of honesty and integrity due to the fact that he/she may be in a position to deal with sensitive information archiving.
  • Must be proactive in the line of duty.
  • Should have a clear understanding of customer service guidelines/principles.
  • Ability to multi-task and respond simultaneously and in a timely fashion to job requirements.
  • Ability to maintain accurate and precise records.
  • High sense of responsibility and punctuality.
  • Ability to communicate clearly both orally and in writing.
  • Ability to work in a multicultural environment.
