Senior Business Analysis Associate

Organizational Setting and Work Relationships
The Senior Business Analysis Associate normally reports to a (Senior) Business Analyst. The principal role of the incumbent is to support ongoing and overall end-to-end integration of ERP modules within the Area of Responsibility (AoR). Integrations with other systems that connect to/from ERP will also be supported by the Senior Business Analyst with assistance from the incumbent. System change requests are often in relation to policy changes or the re-engineering of procedures, or key initiatives such as Strategic Workforce Planning.

Tasks will include translation of business requirements into specifications for IT developers who are managed by the Division of Information System and Telecommunication (DIST). The incumbent will work closely with the Senior Business Analyst and other colleagues towards enhancement and automation of their business processes using technology, including advanced Excel, BI tools, Sharepoint and Artificial Intelligence.

As needed, the incumbent will also assist the Senior Business Analyst in analysis and testing of ERP functionality changes which may result from technical/image upgrades. The incumbent will assist the Senior Business Analyst with day-to-day support to the users as needed per escalation of issues.

Duties
– Assist in solutions and design for business process challenges, using technology.
– Assist in re-engineering/enhancement of business processes or current ERP module/functionality, to ensure compliancy of relevant policies and administrative instructions.
– Interface with system design and development counterparts in DIST to finalize enhancement/change request specifications.
– Assist in providing quality assurance (pre UAT testing) of developed solutions.
– Assist in coordination of User Acceptance testing (UAT), and perform UAT as needed.
– Assist in the implementation of new functions, coaching/training resources as related to the deployment of new ERP functions.
– Assist in process improvement discussions, looking for streamlining opportunities with view to standardizing and simplifying processes and services.
– Prepare end-user training materials and assist in formulating training approaches which align with functionality being deployed.
– Provide post-change follow-up support to units and staff to ensure successful stabilisation.
– Use tools such as PowerBI, Excel, ERP Query Manager, Sharepoint, and Artificial Intelligence tools, to support and provide efficiencies to business processes as they relate to the application and data.
– Keep informed regarding developments in ERP and BI systems.
– Manage priorities.

– Support the identification and management of risks and seek to seize opportunities impacting objectives in the area of responsibility. Ensure decision making in risk based in the functional area of work. Raise risks, issues and concerns to a supervisor or to relevant functional colleague(s).

Relevant Job Experience
Essential
Completion of secondary education with post-secondary certificate/training in the field of business administration, international relations, information technology or related fields. Minimum 4 years relevant work experience with IT systems and in business analysis. Prior experience with ERP. Experience in finding technical solutions and efficiencies for business process challenges. Involvement in change management initiatives in an international or multinational environment, with specific change management experience in at least one ERP deployment project/key initiative, preferably within the UN system. Experience with procedures/processes in the AOR and exposure to provision of support services in an International Organization.

Desirable
Very good working knowledge of standard desktop tools such as MS Office suite, advanced Sharepoint, advanced Excel skills, and basic knowledge of Oracle SQL is an asset. Demonstrated ability to learn new software tools and methods of supporting business processes. Experience with PowerBI and Artificial Intelligence is an asset. Successful completion of one or more courses related to PeopleSoft HCM systems. Interest and passion for technology. Demonstrated ability to manage tasks to a target timeline. Ability to articulate ideas, oral and written, to both technical and non-technical audiences. Experience with UN or International Organization rules/procedures and processes. Experience with UNHCR business functions and/or policies and practices. Knowledge of additional UN language(s).

Occupational health and safety has been a requirement from CEB and HLCM and it has been endorsed by Secretary General for all UN. All agencies must develop a framework for occupational health and safety. This framework remains under the note of Duty of Care. The high Commissioner has delegated to SHWS the task of developing and implementing OSH framework.

The Staff Health and Welfare Service (SHWS) is a part of the Division of Human Resources Management (DHRM) responsible for ensuring that the workforce of UNHCR has a safe and healthy work environment, in the interests of good functioning and productivity. This includes providing support to operation’s guesthouses to comply with minimum UN standards of living. This position is responsible for administrative and technical support to the work of Occupational safety Unit. To achieve this there is need to recruit the services of a Business Analyst – Occupational Safety, who will review and recommend improving the business case on sustainable funding for guesthouses taking into consideration assets depreciation over time. The job requires strong degree of financial and cultural awareness and capacity to positively interact with people of diverse backgrounds.

The Senior Business Analysis Associate – Occupational Safety job reports to the Senior Occupational Safety Officer or the Head of Staff and Health and Wellbeing within the Divisions of Human Resources. The incumbent will give technical advice in coordination with relevant services in HQ i.e Medical Section, Psychosocial Wellbeing Section, DFAM and improve cost-effectiveness and process efficiency for guesthouses in operations.

Role and responsibilities

– Supporting DFAM on improvement measures guiding operations in running Guesthouses with reasonable cost recovery i.e. using similar learnings established from improvements in the way fleet is run.
– Indicating which Administration rules/ instructions are cross cutting and framework for improvement of guesthouse quality provision.
– Support the Senior Occupational Safety Officer in overseeing the implementation of the UNHCR/AI/2019/8 Administrative Instruction on UNHCR- provided accommodation in the Field by undertaking the following;
• Preparation of country operations reports on status of guesthouse accommodation,
• Monitoring and providing advice to operations on implementation of UN Minimum Standards on Working and Living Conditions in the Field
– Maintain up to date records on opening, closure of the guesthouses through communication with country operations management, Guesthouse managers and WFP.
– Coordinate guesthouse manager capacity building initiatives through promotion on use of UN booking Hub and provision of training in partnership with WFP.
– Liase with policy section on requests coming from field regarding interpretation of accommodation Administration Instruction.
– Communicate with operations, collect, and review data on quality checklists and maintenance plans received.
– Develop and maintain data management and reporting platform e.g. PowerBI, providing statistical analytics for use in management decision making at global, regional, and country operations levels.
– Maintain up to date records on UNHCR guesthouse focal point lists.
– Track expenditure on guesthouse maintenance support funds provided to operations for the Occupational Safety Unit budget.
– Conduct guesthouse audits and fact-finding exercises or missions as required or requested by senior Occupational Safety Officer and management.
– Perform other related duties as required in support of Staff Health and Wellbeing Services.

Annual leave: UNHCR staff members holding a temporary appointment will accrue annual leave at the rate of 1.5 working days for each full calendar months of service (i.e. 18 working days per year).
