The Position:
As a Digital Fundraising Assistant, you will play a pivotal role in the operational and administrative support of UNFPA’s Individual Giving Programme (IGP). Reporting directly to the Individual Giving Programme Manager, you will ensure the efficient and timely management of procurement processes, support budget tracking, and assist in the development and implementation of fundraising strategies to achieve UNFPA’s strategic goals. Job Purpose:
This position exists to support the operational and administrative functions of the Individual Giving Programme, ensuring seamless execution of procurement processes, budget tracking, and the development of fundraising materials. Your expertise in administrative support, analytical reporting, and procurement will enable the IGP to expand its reach and impact, furthering UNFPA’s strategic objectives.
You would be responsible for:
- Assisting in procurement processes and administrative procedures for the IGP.
- Leading contract procurement and managing invoices and other related tasks efficiently.
- Supporting the tracking of yearly budgets, ensuring funds are available and properly allocated.
- Providing operational support for the development, implementation, and monitoring of IGP work plans.
- Preparing monthly allocations and earmarking of received funds for the IGP.
- Monitoring budgets and financial expenditures, ensuring compliance with UNFPA rules and regulations.
- Generating analytical reports to support the implementation and tracking of work plans.
- Supporting early fraud detection for Individual Giving Donors.
- Assisting in the organization and preparation of key stakeholder meetings.
- Assisting in the production of fundraising materials for donor acquisition and retention.
- Performing research and analysis, managing spreadsheets, and preparing presentations.
- Proofreading and revising documents and reports.
- Providing technical support for procurement processes.
Qualifications and Experience:
Education:
As a minimum, completion of high school diploma. A first degree would be an advantage in areas of business administration, finance, marketing, or related discipline.
Knowledge and Experience:
- Five (5) years proven experience in administrative support, particularly in procurement and budget management.
- Excellent analytical and report writing skills.
- Experience working in a multi-cultural organization.
- Ability to self-manage workload while achieving timelines and results.
Languages:
Fluency in English; knowledge of other official UN languages, preferably French and/or Spanish, is desirable.
