JOB SUMMARY

 

Job Overview:

The Protection from Violence Assistant- CRC Receptionist will be based in East region Nangarhar Province supporting implementation of NRC’s UDOC project, which is based on Site Management approaches and methodologies. The project aims to improve the protection and assistance response to displacement-affected communities by establishing mechanisms to enhance:

  • Communication with Communities: Sharing information with and receiving feedback from displaced and vulnerable host communities
  • Community Engagement: Participation of affected communities alongside local stakeholders in the humanitarian and development response
  • Support to Coordination: Efficient, effective, and inclusive coordination of services at local level, involving a range of stakeholders (authorities, civil society, NGOs, private sector, etc.).

There are three main pillars in the project for enhancing communication, community engagement, coordination, and Protection:

  • Community Centers established in areas hosting large numbers of displaced households
  • Community Committees working in neighborhoods of high displacement
  • Outreach Teams who work in Community Centers and visit affected neighborhoods.

The PFV assistant- CRC Receptionist is mainly responsible at the Community Centre to administer the front desk/help desk on a daily basis and to perform a variety clerical task in order to collect quality information of individual’s emergency needs to be responded either by NRC or other service providers.

Generic Responsibilities:

  • Adhere to NRC policies, tools, handbooks, and guidelines
  • Ensure quality implementation of PFV Projects according to tools, SOPs, and annual work plan.
  • Contribute to regular activity progress reports
  • Ensure proper completion and filing of all documentation (soft and hard copy, as required)
  • Ensure close co-operation with all NRC core competencies including through joint needs assessments and activities, and identifying beneficiaries where appropriate
  • Ensure that projects target beneficiaries most in need of protection and/or assistance
  • Support PFV Officer to coordinate with community leaders as well as governmental and non-governmental organizations and UN agencies to establish and maintain networks for access, referrals, and problem solving.

Specific Responsibilities:

  • Greet, welcome, and guide beneficiaries and community members at the front desk.
  • Enter individuals’ data and requested services into the registration database.
  • Maintain and update the registration database in a timely manner.
  • Produce reports on the ratio of needs to requested services.
  • Answer, screen, and forward incoming phone calls.
  • Direct visitors to the appropriate person and office.
  • Ensure the reception area is presentable and organized, with all necessary stationery and materials (papers, pens, forms, brochures, etc.).
  • Provide crucial and accurate information in person, over the phone, and by email.
  • Maintain office security through safety measures and controlling access via the reception desk (monitor logbook, register forms, issue visitor badges, etc.).
  • Update calendars and schedule meetings for planned activities.
  • Perform other administrative receptionist duties such as filing and photocopying.
  • Provide daily, weekly, and monthly reports to the supervisor.
  • Carry out any other tasks assigned by the line manager.

Generic Professional Competencies:

  • University degree (social sciences preferred, e.g.

education, political science, international relations, law, journalism, gender studies, human rights, Engineering, etc.).

  • 2-3 years’ experience working in a humanitarian context, preferably in community services or community engagement and mobilization, Site Management, Emergency, protection, community capacity building, or related field
  • Some knowledge of spoken and written English
  • Fluency in Dari and Pashto, both written and verbal
  • Political and cultural awareness, as well as good understanding of the displacement context in Afghanistan.
  • Ability of working with MS Office Programs.
  • Ability to be creative and positive when complicated issues come up.
  • Practical experience with office equipment (e.g printers and fax machines)
  • Good explainer and listener.
