Org. Setting and Reporting

The United Nations Joint Staff Pension Fund was established in 1949 by the United Nations General Assembly to provide retirement, death, disability, and related benefits for staff of the United Nations and other member organizations of the Fund. The Pension Fund pays benefits in 17 currencies to more than 80,000 beneficiaries who reside in 190 countries, and services more than 140,000 participants who work in the 24 member organizations of the Pension Fund.

The Fund has offices in New York (United States) and Geneva (Switzerland) and two liaison offices in Nairobi (Kenya) and Bangkok (Thailand), respectively.

The United Nations Joint Staff Pension Fund-Pension Administration (UNJSPF-PA) comprises about 250 staff from diverse countries and cultures, based across four prominent duty stations (New York, Geneva, Bangkok, and Nairobi). This position is located in the Data Analysis Unit (DAU) within the Office of the Deputy Chief Executive of Pension Administration (DECPA) of the United Nations Joint Staff Pension Fund (UNJSPF). The Administrative Assistant reports to the Chief, Data Analysis Unit, and the position is based in New York.

Responsibilities

• Provides administrative support to the Committee of Actuaries and other groups managed by the DAU. This includes diary management, meeting logistics, management of papers, management of the extranet page and taking meeting notes/minutes.

• Administration of the Committee of Actuaries appointment process and ongoing membership requirements.

• Drafts routine correspondence. • Maintains files of rules, regulations, administrative instructions and other related documentation. • Maintains up-to-date work unit files (both paper and electronic). • Maintains the DAU intranet page, keeping it up to date and with relevant information to share with other units/sections. • Assists with the collection and analysis of data as well as preparation of data presentations and reports for information sharing, responding to queries, knowledge management, planning and decision making.

• Assists with visualizations and updating information material such as web/intranet pages or brochures.

• Provides support to complement some analysis, namely by conducting research using historical Board papers and relevant information systems. • Assists with day-to-day administration of the Consulting Actuary contract with the UNJSPF. • Audits the Consulting Actuary invoices against the goods and services provided within the contract. • Obtains the relevant approvals for payment of contractors’ invoices. • Assists with the collection and analysis of data as well as preparation of data presentations and reports for information sharing, responding to queries, knowledge management, planning and decision making.

• Assists with visualizations and updating information material such as web pages or brochures.

• Performs other related administrative duties to support the DAU, as required. Work implies frequent interaction with the following: • Staff within the Office of the DCEPA and other key services across the Pension Administration • Secretariat of the Pension Board • Members of the Committee of Actuaries • Consulting Actuary Results Expected: Contributes to the effectiveness and efficiency of the department/unit by providing administrative support and specialized assistance to more senior staff in the assigned areas of responsibility.

Work Experience

Five (5) years of experience in administrative services, conference servicing, general office support or related area is required.

The minimum number of years of relevant experience is reduced to three (3) for candidates who possess a first-level university degree or higher.

One (1) year or more of experience in data analytics or related area is desirable.

Languages
English and French are the working languages of the UNJSPF. For the post advertised, fluency in oral and written English is required. Knowledge of another official United Nations language is an advantage.
Assessment
Evaluation of qualified candidates may include a desk review of candidates’ profiles or an assessment exercise which may be followed by competency-based interview.
Special Notice

This position is available for 364 days with the possibility of extension subject to availability of funding.

This position is subject to local recruitment pursuant to staff rule 4.4 of the United Nations Staff Rules.
