Dominican Republic Portfolio:
As of January 2024, the Dominican Republic’s IBRD portfolio stands at US$2.4 billion. The active portfolio includes 14 operations totaling US$1.891 billion, addressing critical sectors such as potable water, sanitation, agriculture, housing, climate resilience, social protection, and energy. Additionally, projects in the pipeline are valued at US$580 million, focusing on energy, governance, and health sectors.
The portfolio is further enhanced by advisory services and analytics, including four studies completed in FY24, such as the Gender Diagnostic and the Country Climate and Development Report. Looking ahead to FY2024 and FY2025, plans include four more studies, featuring the DR Environmental and Social Overview Assessment. This analytical work is supported by 29 active trust funds, amounting to roughly US$42.2 million, which contribute to governance, water and sanitation, urban development, social responsibility, health, environmental concerns, macroeconomics, and more.
We are seeking a dedicated professional to join our team, providing direct support to the Operations Officer (OO) and the Executive Assistant (EA). This role is pivotal in ensuring the smooth operation of the country office and the effective management of our project portfolio.
Key Responsibilities:
Operations:
– Monitor and manage key project milestones, ASA deliverables, and documentation, including Implementation Status Reports (ISRs).
– Handle system alerts and coordinate with project teams for upcoming evaluations.
– Maintain and update project documentation within the Operations Portal, aiding in portfolio oversight.
– Engage in portfolio-related meetings to remain abreast of pertinent topics and issues.
– Manage the calendar for the Country Management Unit (CMU), tracking significant project-related dates.
– Act as the primary liaison for the Dom Rep Team Channel, ensuring timely updates.
– Organize and facilitate weekly operational meetings to track deliverables.
– Keep current rosters of IFC Focal Points and Task Team Leaders (TTLs) for communication channels.
– Facilitate coordination between IBRD missions and IFC focal points.
– Develop live flowcharts for IBRD projects and provide monthly progress reports.
– Oversee mission check-in procedures on communication platforms.
Records and Information Management Coordinator:
– Schedule and coordinate RIM training, send reminders, and support logistical planning.
– Serve as the primary contact for establishing and organizing folder structures for units.
– Liaise with project teams regarding folder notifications, project closures, and monitoring.
– Advocate for the proper filing of documents in official repositories.
– Disseminate updates on RIM policies and provide helpful tips and information.
– Train and assist teams in managing physical records for destruction, archiving, or storage.
– Facilitate Access to Information requests and manage classification changes.
General Office Support:
– Assist with mission preparations, including drafting of Mission Approval Letters (MALs), managing mission calendars, and coordinating agendas.
– Compose routine correspondence and ensure necessary follow-up.
– Support Financial Management and Procurement specialists.
– Contribute to event planning and undertake additional tasks as required.
Selection Criteria
* Minimum Education/Experience: College degree preferred or High school diploma with 5 years of relevant experience, or an equivalent combination of education and experience.
* Bilingual proficiency in English and Spanish (verbal and written).
* Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
* In-depth knowledge of the Dominican Republic Government structure and key contacts.
* Skilled in sourcing reference materials from various channels (e.g., databases, internet, etc.).
* Discretion in handling sensitive and confidential information.
* A committed self-starter with excellent interpersonal skills, capable of thriving in a multicultural setting.
* Ability to deliver high-quality work under tight deadlines.
