In addition to its investment work, IFC operates a major program of private sector advisory services projects in Latin America and the Caribbean. The objectives of the program are to promote direct investment in the private sector, build local businesses and financial intermediaries, and help improve the business enabling environment, and hence contribute to poverty reduction in LAC. IFC in Latin America is currently seeking a highly motivated and well-organized Temporary Office Assistant.
We are seeking a proactive and detail-oriented Office Assistant to support our team and ensure the smooth functioning of our office operations. This role is ideal for someone who thrives in a dynamic environment, enjoys taking on a variety of tasks, and can manage multiple responsibilities with ease. The Temporary Office Assistant will play a key role in supporting the documentation process for expatriates, managing daily administrative tasks, and providing exceptional service to both internal and external stakeholders.
The ideal candidate will be adaptable, capable of handling sensitive and confidential matters, and skilled at making decisions when faced with multiple options. They will also provide backup support for other assistants during their vacations, help organize office events, and collaborate with the office administrator on tasks such as coordinating with the cleaning company. ROLES AND RESPONSABILITIES:
• Oversee the complete documentation process for expatriates entering and leaving Brazil, including visas, RNE vehicle acquisition, and all matters related to their residency).
• Maintain accurate and up-to-date records for expatriates, ensuring all documents are properly scanned, archived, and accessible.
• Handle sensitive and confidential matters with professionalism, making informed decisions in situations with multiple potential courses of action.
• Provide reliable support by acting as a backup for assistants during their vacations, ensuring continuity of service.
• Organize office events, supporting the assistant team with planning and logistics as required.
• Assist the office administrator in managing relationships with external service providers, such as the cleaning company, to maintain a well-functioning office environment.
Selection Criteria
• Bachelor’s degree with 3-5 years of relevant experience in the field.
• Previous work experience in a broad range of administrative, logistics, finance duties.
• Experience in an international organization, private sector and/or knowledge of the World Bank Group procedures and tools would be a plus.
• Excellent communications skills, both oral and written, in English and Portuguese.
• Effective time management and organizational skills.
• Ability to produce high-quality work under pressure.
• Committed team player with demonstrated inter-personal skills and ability to work effectively in a multicultural environment.
• Ability to adjust to changing business needs by continuous learning/training.
