Organizational Setting and Reporting Relationship
The position of Senior Operations Assistant is assigned to the Finance Sector within the Sectors Group. You will be based at our Headquarters in Manila, Philippines.
You will report to designated International Staff.
Your Role
The Senior Operations Assistant provides administrative support to transport activities. The incumbent provides administrative support in project administration, project processing activities related to loans and TA, and database management. The Senior Operations Assistant will report to designated international staff and/or senior national staff.
You will:
- Manage correspondences and documents for the supervisor, compose routine letters independently, review documents before supervisor approval, handle incoming mail, ensure timely outgoing correspondence, and maintain a filing system for documents and database within the team.
- Ensure the effective coordination of supervisor’s schedule by maintaining calendar and arranging appointments, meetings, travel, and accommodation as specified by the supervisor and in accordance with ADB procedures.
- Ensure accurate updating of event’s database, including knowledge dissemination activities.
- Support the preparation of necessary loan/TA documents and processing of these documents in accordance with ADB quality and procedures.
- Support the preparation and administration of TAs and/or projects for the selection process of consultants, processing of claims, contract variations, internal memos and preparation of TA and Project Completion Reports, back-to-office reports, under the guidance of the international staff and/or project officer.
- Assist international and national staff in the implementation of TAs, loans, and grants.
- Provide back-up support to other Operations Assistants in their absence, as necessary.
- Act as mentor to other junior Operations Assistants.
- Perform other duties that may be assigned as reflected in the incumbent’s workplan.
Qualifications
You will need:
- Bachelor’s degree in finance, business administration, public administration, or other fields
- At least 5 years of relevant professional experience.
- Experience supporting processing operations is an advantage for this position.
- Good computer skills with sound knowledge of common word-processing, spreadsheets and graphics software used in multilateral organizations.
- Good knowledge of processing and project administration activities.
- Good coordination and interpersonal skills.
- Ability to work with individuals from different cultural/national backgrounds.
- Ability to liaise, work effectively and interact in a professional manner with staff within own work location, and with other ADB stakeholders.
- Ability to quickly understand the role and function of the Sector Office and the organization’s purpose.
- Good working knowledge of procedures, formats and standards relevant in the performance of work.
- Ability to exercise judgment on matters of confidentiality and those requiring urgent attention, especially in the supervisor’s absence
