THE CONTEXT AND OBJECTIVE OF THE POSITION:

The Storekeeper is under the supervision of the Fleet and Garage Manager and is responsible for maintaining in stock the required quantities of spare parts, lubricants, etc. required for the maintenance of all light, armoured vehicles and fixed and mobile motorised equipment. The Storekeeper will request, receive, store, issue and take inventories. The Storekeeper, under the supervision of the Fleet Manager, is responsible for the custody and management of the store.

RESPONSIBILITIES/OBLIGATIONS:

Under the direct supervision of the immediate supervisor and in coordination with all fleet and garage personnel, the incumbent must perform the following tasks:

  • Ensure that all goods received are carefully counted and recorded; any difference in quantity, positive or negative, is recorded on the GRN (Goods Receipt Note) or POD (Proof of Delivery) and returned to the sender.
  • Responsible for quality control of all goods received, any goods received that are damaged or incorrect must be recorded and reported to their immediate supervisor.
  • Ensure that all spare parts and materials requested are duly authorized and responsible to ensure that they are supplied for the correct makes and models in accordance with the section criteria established for each vehicle/machine manufacturer.
  • Ensure that spare parts and materials returned to stock are correctly recorded in the fleet system.
  • Prepare all requests for spare parts and materials to be transferred to other depots and ensure that they are properly packaged and sealed.
  • Supervise and supervise the actual physical loading of spare parts and materials to other locations and ensure that they are loaded appropriately to avoid damage during transportation.
  • Obtain and maintain the latest spare parts catalogs, price lists, cross references and superseded numbers for all operational assets on an ongoing basis.
  • Implement good inventory management and ensure that all minimum and maximum stock levels are maintained to avoid stock outs.
  • Organize and implement regular internal inventory and ensure that all inventory records are accurate in accordance with audit practices.
  • Ensure all spare parts and materials are stored in a safe, clean and secure environment using the most efficient layout with maximum use of space.
  • Prepare orders for local and international sourcing and track the entire sourcing process including freight, customs clearance and in-country processes until final receipt of goods.
  • Submit daily consumption and receipt reports (keeping an up-to-date list of spare parts stock), weekly stock reports or ad hoc reports to the Fleet section of WFP OFFICE.
  • Keep the parts store organized, labeled according to the inventory barcode policy.
  • Communicates expectations and goals, provides ongoing feedback and corrects deficiencies.
  • Consider people’s workload, commitments and priorities when setting expectations and assigning work.
  • Monitor and ensure the efficient and appropriate use of resources.
  • Ensure that all established normative guidelines, systems and procedures for inventory management are strictly adhered to.
  • Ensure all data is updated in the FMS regarding inventory control and tire modules
  • Share experiences gained with other employees and strive to create good team cohesion and a harmonious atmosphere.
  • Ensure that all PAM procedures regarding spare parts are followed
  • Supervise all spare parts storekeepers at WFP in Haiti
  • Occasional travel, at the request of the Organization
  • Perform any other tasks requested by the immediate supervisor.

DELIVERABLES AT THE END OF THE CONTRACT:

  • All relevant documents and data are entered into the fleet management system and produce the required reports in a timely manner.
  • The physical stock must be equal to the virtual stock indicated in the Fleet Management System

QUALIFICATIONS AND EXPERIENCE REQUIRED:

Formation :

Degree in computer science, administration, statistics or equivalent.

Experience :

  • Held the position of Spare Parts Storekeeper, or a similar position in a company/NGO with at least 2 years of experience acquired in the relevant field.

Knowledge and skills:

  • Very good knowledge of spare parts for light vehicles, trucks and generators
  • Good working knowledge and experience with Microsoft MS Office suite.
  • Understanding and working knowledge of the fleet database management system.
  • Experience gained using a computerized fleet management system, with emphasis on the inventory control module.

LANGUAGES :

  • A good command of the French language, both written and spoken, is mandatory.
  • Intermediate knowledge of another official UN language is desirable.
