JOB DESCRIPTION

SPECIAL NOTE:

The Position:

Under the overall guidance and direct supervision of the Chief of the Private Sector and Civil Society Branch (PSCSB), the incumbent is providing both direct administrative and logistical assistance to the Chief of the Branch and support to PSCSB. The incumbent is responsible for managing co-financing contributions from private strategic partners, including the recording of these contributions in the contracts module, administration of agreement fund codes, and monitoring and maintaining databases related to strategic partnerships. The incumbent is responsible for supporting data analysis and research and managing private strategic partnerships. This includes conducting and updating due diligence screening for existing and potential private strategic partner.

You would be responsible for:

  • Manage, monitor, and maintain databases of all signed agreements, contributions, and receivables related to private strategic partnerships.
  • Work directly with the Chief of the Branch, providing administrative and logistical assistance, as well supporting communications with internal and external stakeholders.
  • Support in the oversight of the PSCSB budget.
  • Assign fund codes, review and enter new agreements in DARTS, and create contracts, revenue and billing plans in the Contracts Module.
  • Ensure compliance with CRM/DARTS requirements.
  • Liaise with Public Funding and Financing Branch, Finance Branch and budget holders on the identification, recording and application of contributions received.
  • Review certified annual and final financial statements prior to submission to donors.
  • Support PSCSB Specialists with the drafting of the cover letter and submission of financial statements to donors.
  • Conduct due diligence screening for existing and potential private strategic partners by thorough research, review and analysis and update the due diligence tracking sheet, recommending due diligence outcome, submit to Strategic Partnerships Specialists for review, and inform requesting units of the outcome.
  • Handle queries from other business units including budget holders and redirect to respective PSCSB Specialists if needed.
  • Ensure relevant documents and correspondences such as agreements, amendments, no-cost extensions, waivers, and note-to-files are stored in the shared drive. Perform any other duties as directed by the Chief of the Branch.

Internal: The incumbent will work with the PSCSB. The incumbent will also interact with Public Funding and Financing Branch, the Finance Branch, and other business units for private-sector-related contributions.

External: The incumbent will interact with private strategic partners and other external stakeholders including suppliers.

Qualifications and Experience:

Education:

Completion of secondary school education. College/Bachelors Degree level courses in economics/social issues and/or business administration is highly desirable; specialized, formal training in administration and/or finance is required.

Knowledge and Experience:

  • At least six (6) years of experience working on administration and finance management. Familiarity with UNFPA’s programming and financial regulations, rules and procedures is an advantage.
  • High proficiency in the use of spreadsheets, data analysis, word processing and computerized accounting systems is required.
  • In-depth knowledge of PeopleSoft and experience in troubleshooting data problems is an advantage.
  • Excellent written and communication skills, specifically the ability to translate financial and numerical data into reasoned arguments, is an advantage.

Languages:

Fluency in English is required. Excellent command in either French or Spanish is desirable.

  • Initiative, strong conceptual abilities, sound judgment, strong interest in development work, especially the mission of the United Nations Population Fund and dedication to the principles of the United Nations.
  • Experience in dealing with senior officials, including the demonstrated ability to exercise the highest level of discretion, tact, politeness and helpfulness in a manner that reflects positively on the unit as a whole, even while working under pressure.
