About Us :

The Norwegian Refugee Council (NRC) is an independent humanitarian organization helping people forced to flee. We work in crises across 40  countries, providing emergency and long-term assistance to millions of people every year. We stand up for people forced to flee, advocating their rights. NORCAP, our global provider of expertise, helps improve the international and local ability to prevent, prepare for, respond to and recover from crises. NRC also runs the Internal Displacement Monitoring Centre in Geneva, a global leader in reporting on and advocating for people displaced within their own country.

We protect displaced people and support them as they build a new future. We started our relief efforts after World War Two. Today, we work in both new and protracted crises across 40 countries. We specialize in six areas: food security, education, shelter, legal assistance, protection from violence, and water, sanitation and hygiene.

Employment with NRC may lead to employment in or deployment to Regions, Countries, Areas, or Offices that may be host to considerable health, safety, and security risks. What you will do

Generic Responsibilities:

 

  • Ensure adherence with NRC policies, tools, handbooks and guidelines
  • Implement delegated support function portfolio according to plan of action
  • Prepare and develop status reports as required by management
  • Promote and share ideas for improvement of the support function
  • General office administration management and implementing of office policies
  • Ensure that administration archives are in use and maintained according to the NRC regulations (both hard and soft copies)
  • Overall responsibility to ensure NRC visitors and consultants travel, accommodation and administration needs are met including transportation to and from the airport
  • Ensure proper filing of documents
  • Any other tasks as assigned .

 

Specific Responsibilities:

  • General office administration management and implementing of office policies
  • Ensuring NRC offices and accommodation protocols are adhered to
  • Ensure that administration archives are in use and maintained according to the NRC regulations (both hard and soft copies)
  • Managing of processes for visas for international staff and visitors
  • Managing of minor maintenance for the Amman office including office equipment/furniture as agreed with procurement department
  • Responsible for the organization of international travel arrangements from the hub to Gaza
  • Ensure adequate supply of stationery and office supplies; managing of the reception
  • Overall responsibility to ensure NRC visitors and consultants travel, accommodation and administration needs are met including transportation to and from the airport
  • Supervision and management of Service staff
  • Maintaining of the guesthouses, guesthouse equipment and supplies
  • Responsible for the liaison with landlords on matters related to the lease agreements of GH and offices
  • General support to NRC international staff
  • Monitor the utilization of NRC premises and offices and propose changes

 

Professional competencies, Qualifications & Skills required:

  • Bachelor’s degree in Business administration, public management, international relations, or any relevant field.
  • Minimum of 2 years experience preferably within non-profit organizations Local NGOs / or International  (INGOs) or related sectors.
  • Proven administrative skills preferably related to office management or executive secretarial,
  • Resourceful: Able to follow up on key tasks without detailed supervision. Knowledge of local context and dealing with governmental authorities and requiremnents.

Intermediate computer skills in Microsoft Office (MS Excel, Word, and Outlook)

  • Service oriented.
  • Arabic speaker with excellent writing skills
  • Very Good command of the English Language
  • Attention to detail, problem-solving skill, excellent time management, and team management skills

Context-related skills, knowledge, and experience: 

  • Experience working with a relevant aid agency or embassy in the Middle East
  • Knowledge of the context in the Middle East and North Africa
  • Maintaining confidentiality and managing sensitive data/information
  • Ability to work with remote teams and provide remote support where needed.

Type of contract:            National Fixed-Term Contract

Duration: till 31 Dec 2024 with the possibility of extension (subject to funding availability, business need, and satisfactory performance)
