Org. Setting and Reporting
This position is located in the United Nations Verification Mission in Colombia, Regional Office, Cucuta, Subregional Office Arauca. The incumbent is responsible for the completion of a variety of specialized activities enabling and maintaining a smooth flow of equipment, supplies and personnel to, from, and within the area of responsibility. Additionally, the Logistics Assistant at this level will work in the areas of Mission Support at subregional and field level and will report to the Regional Administrative Officer (RA, Cucuta as first reporting officer (FRand the Logistics Officer for Operations in Mission Support Unit at the Mission Headquarters as second reporting officer (SR.
Responsibilities
Within delegated authority, the Logistics Assistant will be responsible for the following duties: Logistics • Supports more senior staff with respect to all aspects of major services contracts. • Prepares requisitions and enters data to initiate requisition processes. • Provides updates of requisition status on a regular basis. • Assist the Regional Office/Sub Regional Office or cash custodian with the management of petty cash and imprest fund, keeps records, progressive funding and expenditures, liaises with different stakeholders on receipts and associated actions. • Supports the Regional Administrative Officer (RAin the proper maintenance of the Arauca Subregional office, ensuring the continuity of public services, upkeep of office equipment as well as facilities. • Prepares routine office correspondence. Supply/Transport • Monitors and reports on implementation of logistics plans, including movement and delivery of assets and completion of project functions as required. • Maintains, updates and ensures accuracy and completeness of computer database recording requisition details, purchase orders, delivery and invoice actions. • Manages and maintains records of the direct provisioning process. • Assists in the execution of technical evaluations for long and shortterm contracts. • Establishes and maintains relevant reference library. • Supports the RAO for the creation and submission of Fleet Maintenance requests with all type of vehicle maintenance services (Preventive/Correctiv, monitoring, follow up and confirmation of services and duration of service with the supervision of the RAO. • Controls and manages supply related items requisitioning and delivery. • Coordinates on consumables and spare parts consumption rates and usage patterns. General • Liaises and assists in coordination of administrative and logistics support with Mission Support UnitLogistics Operations HQ and other mission components, such as military, police, security and substantive offices. • Familiarizes new staff with respect to work requirements and applicable UN guidelines and office procedures. • Ensures that all UNVMC policies are applied and followed thoroughly across all processes, including adherence to UNVMC code of conduct and ethics, and integrates a gendersensitive approach in all functions. • Performs other duties as required.

Education
High school diploma or equivalent is required.
JobSpecific Qualification
Certificate in Administration or Logistics field is desirable.
Work Experience
At least five (5) years of progressively responsible experience of practical logistics operations or related area is required. Experience in Systems Applications and Products (SAsystem or a similar system is desirable.
Languages
English and French are the working languages of the United Nations Secretariat. For this position, fluency in both English and Spanish is required. NOTE: Fluency equals a rating of “fluent” in all four areas (read, write, speak, understan, and “knowledge of” equals a rating of “confident” in two of the four areas.
Assessment
Evaluation of qualified candidates may include an assessment exercise which may be followed by competencybased interview.
