UNDSS Sudan is supporting the UN Entities and International Non-Governmental organizations (INGOs) and International Organisations (IOs) so as to enable the conduct of humanitarian relief programmes. UNDSS seeks to fill a number of posts across Sudan.  Successful candidates must be able to work within one of these locations. Additionally, successful candidates must be prepared to relocate to other parts of the country and travel on official business, based on evolving humanitarian planning in Sudan.

The position is locally administered by UNDP but financed by the United Nations Department of Safety and Security (UNDSS) through LCSSB. The contracts may be extended subject to the availability of funds, satisfactory performance, and a continuing need for the post. This position is responsible for assisting facilities management through vendors and suppliers.

Duties and Responsibilities
1- Responsible for supervising general building maintenance work performed by vendors and suppliers
  • Assist with facility risk assessment
  • Assist in managing health and safety issues
  • Supervise office furniture repairs
  • Supervise generator maintance and repairs
  • Assist with office improvement and site management
  • Be responsible for execution of all carpentry works.
  • Be responsible for all masonry works.
  • Carry out urgent minor welding works and fabrications
  • Be responsible for all painting work
  • Responsible for the duplication of keys

2- Maintain liaison and oversee vendors for fumigation, Heating, Ventilation and Air Conditioning (HVAC), painting and other maintenance services as needed

  • Organize the office and guesthouse for UN events.
  • Carry out tiling
  • Mount signage
  • Repair curtain blinds
  • Perform minor Civil/Construction
  • Carry out paintings (prepare painting surfaces by washing walls, repairing holes, or removing old paint, mixing, matching, and applying paints and other finishes to various surfaces)
  • Provide decorative and faux finishes
  • Assemble furniture, cabinets, shelves and other items and install them where designated
  • Inspect places and conduct repairs or maintenance
  • Maintenance for parking areas
  • Perform simple repairs on glass windows and doors.
  • Ensure maintenance of water supplies and generators

3.  The incumbent performs other duties within their functional profile as deemed necessary for the efficient functioning ofthe Office and the Organization

4.  Institutional Arrangement

Under the guidance of the Chief Security Advisor/ Deputy Chief Security Adviser, and direct supervision of the Admin and Logstics Team, the Facilities Management Assistant provides reliable and safe facilities management services ensuring high accuracy of work. The Facilities Management Assistant demonstrates a client-oriented approach, a high sense of responsibility, courtesy, tact, and the ability to work with people of different national and cultural backgrounds.  This position is supervising vendors and suppliers.

Admin and Operations
Building, facilities & office space management:

Knowledge and ability to facilitate the renovation and upgrade of offices including review of complex engineering/architectural drawings; negotiate technical agreements to ensure fully operational building infrastructure and services; design policy & procedure (POPP) for premises and facilities including space standards; manage premises and facilities; validate financial statement notes on leasehold data.

Business Management 

Communication:

Ability to communicate in a clear, concise and unambiguous manner both through written and verbal communication; to tailor messages and choose communication methods depending on the audience Ability to manage communications internally and externally, through media, social media and other appropriate channels.

Required Skills and Experience
Education:

Secondary Education is required.

A university degree in Business Administration, Public Administration, Finance, Logistics or any related field, will be given due consideration, but it is not a requirement.

Experience:
Minimum of 4 years (with secondary education) or 1 year (with bachelor’s degree) of progressively experience in administration, finance or logistics is required at the national or international level.
Required skills:
Experience in the usage of computers and office software packages (MS Word, Excel, etc.) and advance knowledge of spreadsheet and database packages, experience in handling of web-based management systems.
Desired skills in addition to the competencies covered in the Competencies section:
  • Previous experience in guest house management
  • High level of knowledge and expertise in generators and generator maintenance.
  • Familiarity with the host country’s safety regulations.
  • Familiarity with preventative maintenance operations.
  • Holds a valid driver’s license.
  • Experience working in the UN or other international organization.

Required Language(s) :

Good knowledge of English and Arabic is required.
