JOB DESCRIPTION

Organizational Setting

The Office of the Inspector General (OIG) provides oversight of FAO’s programmes and operations through internal audit and investigations.
The post is located in the Office of the Inspector General (OIG) at FAO headquarters in Rome, Italy.

 

Main Purpose

The Audit Assistant performs a variety of routine administrative and audit (assurance and advisory) support functions, contributing to the efficient delivery of work by the audit units in OIG.

Supervision Received/Exercised

The Audit Assistant works under the direct supervision of the Deputy Inspector-General but may also receive guidance on specific tasks from the Heads of Unit in OIG’s Internal Audit Branch (OIGA). He/she acts independently in routine matters and consults with the Deputy Inspector-General and, where applicable, the OIGA Heads of Unit on new and/or more complex issues and procedures. Supervision received provides for technical and procedural guidance and on-the-job learning.

The Audit Assistant interacts with a wide variety of colleagues from within OIG and with immediate clients providing routine administrative and audit support services

 

Key Functions/Results

•    Collect background information from various sources for the preparation and execution of audit plans.
•    Assist audit teams with evidence gathering for audit assignments; participate in related meetings and missions as required.
•    Enter, retrieve, structure and update selected information and data in the Office’s information systems and databases for audit purposes and present results in standard format.
•    Prepare electronic audit working papers to be filed in OIG’s audit database, in accordance with standards and requirements.
•    Edit and format draft audit reports; collate tables, reports, presentations, statistics and other documentation.
•    Assist with maintaining and updating the OIG Internal Audit Quality Assurance and Improvement Programme and the Internal Audit Manual.
•    Participate in developing improved work methods and processes in audit.
•    Assist with preparation and monitoring of data for OIG office-wide use as required.
•    Assist with preparation of OIG’s quarterly and annual reports and other corporate reporting requirements.
•    Assist with outreach activities to support the implementation of OIG’s communication strategy.
•    Assist with initiatives to strengthen the exchange of information and work practices between OIG’s internal audit and investigation branches.
•    Provide support to OIG focal points for communication, staff development and learning, and gender and diversity, as required.
•    Perform a large variety of routine administrative tasks contributing to the smooth and efficient running of the Office.
•    Respond to routine internal and external enquiries and/or refer to appropriate contacts/units.
•    Perform other functions as required.

 

Impact Of Work

The Audit Assistant participates as part of a team in the provision of audit and administrative support services. Actions reflect on the immediate and wider work unit.

Minimum Requirements

Education: Secondary School Education.
Experience: Three years of relevant experience in the provision of auditing and/or administrative support functions.
Languages: Working knowledge (full proficiency – level C) of English.
IT Skills: Good knowledge of the MS Office applications, Internet and office technology equipment

Residency: General Service Staff are recruited locally. To be eligible for this position, candidates must be nationals of the country of the duty station or possess an existing visa/work permit and reside within commuting distance of the duty station at the time of the application. “Commuting distance” means the distance within which staff members can travel daily between their place of work and their residence

•    Intermediate knowledge (intermediate proficiency – level B) of one of the other working languages of the Organization (Arabic, Chinese, French, Russian or Spanish).
