JOB DESCRIPTION

Title: Finance Assistant

Location: Harare

Supervisor: Finance and Grants Manager

Basic Summary of Functions:

Under the supervision of the Finance and Grants Manager, the Finance Assistant’s primary role is to support the Finance department by providing high-quality financial services. This includes ensuring accuracy, consistency, and effective clerical support in service delivery.

Duties and Responsibilities:

  • Collaborate closely with the Finance Officer to ensure the smooth operation of all financial activities.
  • Assist in maintaining proper control over supporting documents for payments and financial reports.
  • Manage the filing of supporting documents and invoices related to expenditures.
  • Accurately and promptly enter accounting data into the financial system.
  • Conduct regular cash counts to ensure accuracy.
  • Ensure all petty cash transactions are properly supported and approved.
  • Develop and maintain an updated and easily accessible hard copy and electronic Finance Office Filing System.
  • Assist with payment processing, VAT claims, year-end preparation, and audit preparation.
  • Provide staff technical assistance and capacity building, including policy interpretation, system setup, troubleshooting, and resolution of outstanding issues.
  • Collaborate with the rest of the finance team to plan and conduct training on organizational policies and procedures.
  • Perform other general administrative functions as required.

Knowledge, Skills, and Abilities:

  • Customer-friendly attitude with the ability to manage work-related stress.
  • Proactive skills in identifying cost savings, cost avoidance, and efficiency opportunities.
  • Ability to develop effective work plans and prioritize tasks to meet business objectives.
  • Knowledge of pricing, contract negotiations, conflict resolution, policies, and procedures.
  • Strong analytical, numerical, and problem-solving skills.
  • Adaptability to changing needs and work patterns.
  • Excellent report writing and documentation skills.
  • Advanced proficiency in Microsoft Office applications such as Word, Excel, and PowerPoint.
  • Experience with ERP systems and accounting software such as Pastel, QuickBooks, or other accounting packages.
  • Ability to manage and work under pressure with minimal supervision.
  • Good team player with a positive attitude, flexible mindset, and comfort working in a multicultural setting.
  • Strong sense of ethics, integrity, credibility, and respect for diversity.
  • Effective communication skills with staff and management, demonstrating diplomacy and firmness.

Qualifications and Requirements:

  • BAcc/BCom/BTech degree in Accounting, Finance, Business Administration, or a recognized equivalent, with 1-3 years of relevant post-qualification experience.
  • Recent graduates of ACCA, CIMA, ICSA, IAC, or any other relevant professional qualification with 1-3 years of post-qualification experience will have an added advantage.
  • Familiarity with U.S. Government grants or other donor-funded programs, contracting, and auditing standards as they apply to the management of multi-year funds effectively will be an added advantage.
