JOB DESCRIPTION

OBJECTIVES OF THE PROGRAMME

Country Management Support Units (CSU) have been established in the organisational structure to provide support for Managers and staff to fully assume their responsibilities in the GSM environment and to ensure compliance with organizational policies, procedures, rules and regulations on all administrative and financial matters and transactions in the context of an Enterprise Resource Planning (ERP) system

DESCRIPTION OF DUTIES

• The incumbent will perform all or part of the following,and other related responsibilities as required by the needs of the office.• Work under the direct supervision of the head of the WHO country office• Ensure effective and efficient functioning of the office ofthe head of the WHO country office, exercising discretion and confidentiality for sensitive matters.• Manage the supervisor’s calendar, coordinating appointmentsand meetings, ensuring the exercise of due protocol with high-rankingofficials.• Make arrangements for the supervisor’s travel anditinerary, preparing background materials, documentation, agendas, and briefingfiles.• Manage the information flow of the office, reviewing,prioritizing, and routing a|l incoming correspondence, ensuring timely followup action and responses.• Proof read and quality assure the standardof outgoing correspondence for action/signature by the head of the WHO country office.Maintain up-to-date databases on official contacts for thehead of the WHO office including contact information of Government Officials,members of the Diplomatic Corps, development partners,• nongovernmental organizations, donors, and othermultilateral agencies.• Prepare presentations, correspondence, reports and otherofficial documents.• Coordinate the secretarial and related administrativesupport services of the office, distributing special assignments, briefing andguiding new employees on administrative office procedures and WHO standards inofficial communication.• Brief prospective candidates or new appointees on benefitsand conditions of employment.

REQUIRED QUALIFICATIONS

Education

Essential: Certificateof completion of secondary or high school.
Desirable: Training in office administration

Experience

Essential: Minimum of eight years Of work experience relevant to the position (in general office or administrative work experience) including supervisory responsibilities.
Desirable: Administrative experience working in an international organization or setting, requiringfrequent interaction with high level government, executive and other officials

Skills

Organizational procedures and standards in executive-office administration and communications.Implementation of office protocol arrangements in accordance with established standards.Ability to plan, organize and coordinate meetings,schedules and itineraries.Ability to research, analyse and organize information for the preparation of reports and briefings.Ability to prepare working translations.Excellent communication skills including theability to write/originate routine andnon-routine correspondence and reports

REMUNERATION

WHO offers staff in the General Services category an attractive remuneration package, which for the above position includes an annual net base salary starting at MUR 734,343 (subject to mandatory deductions for pension contributions and health insurance, as applicable) and 30 days of annual leave.
