This job is based in the Provincial Office, Karachi and the job holder will directly report and work under the supervision of Programme Policy Officer Nutrition under the overall guidance of Head of Provincial Office, WFP Sindh

JOB PURPOSE:
To deliver standard business support process of nutrition unit, particularly under the BISP Nashonuma Programme-activities in Province. The staff is required to actively support the BISP Project team for timely planning and delivery of RUSF and NFIs, commodity management and assist in other administrative tasks.
KEY RESPONSIBILITIES (not all-inclusive, nor exhaustive):
1. Gather information with clear direction to support the drafting of documents and preparing reports by other staff.
2. Respond to queries and escalate where appropriate, in order to provide a timely and accurate service to clients.
3. Support processing and managing routine administrative and financial tasks in various functional areas, to contribute to the effective and timely management of resources.
4. Provide revision and proof-reading services for standard documents, to contribute to the development of accurate documentation.
5. Take responsibility for the maintenance of set standard systems and files, to ensure information is accurate and readily available for the function.
6. Identify simple discrepancies in statistics and data, such as missing information, and report to senior staff in order to support clients to deliver their work.
7. Take responsibility for data integrity to facilitate availability of accurate information in corporate systems.
8. Provide guidance on routine business support methods and practices to junior colleagues to ensure services are delivered consistently and to the required standards.
9. Work with a variety of individuals, taking on feedback where appropriate to assist in business support delivery for staff.
10. Other related duties.
OTHER POST REQUIREMENTS (details to be determined by Post Managers):
The staff member will be primarily working for BISP Nashonuma programme for ensuring timely support to Provincial nutrition team for smooth running of the BISP Nashonuma and other nutrition operations in province and will;
1. Assist in timely coordination with the respective district’s coordinators, Programme Assistant, logs and NIS focal points (CP or Govt) to collect the information for preparation of monthly /bi-weekly plan.
2. Provide heads up to the team to ensure the timely action, replenishment of the NFIs, inventory management and reconciliation.
3. Assist in preparation of the budgets and finalization of invoices and to ensure the other administrative arrangements.
4. Assist in maintaining the unit records.
5. Assist in entry of the reports in COMET and preparation of the commodity release notes.
6. Assist the team in documentation related to the partnership agreements.
7. Development of quarterly and monthly distribution plans in close consultation with logs and supervisor for guidance on the development of call forwards for RUSF food from each district.
8. Assist on generation of the CRNs in comet system for approvals and timely food dispatches to the BISP Nashonuma Facilitation canters.
9. Keep logs, BISP Provincial and Country team apprised of the plans and keep close watch on the DSMR status on daily basis.
10. Staff will assist for timely development of the distribution reports and reconcile the data with logs team for tracking closing stocks, both at provincial warehouse and the CP/Govt District level BISP Nashonuma facilitation centres and further entry in comets.
STANDARD MINIMUM QUALIFICATIONS AND EXPERIENCE:
Education:
First level university degree in Nutrition, public health, or social sciences
Experience:
Minimum four years of work experience to provide business support in Nutrition or public health related activities/ programmes; preferably with UN or NGO’s.
Knowledge ,& Skills:
• Proficient in the use of office equipment and computer software packages such as Microsoft Word.
• Knowledge of work routines and methods in order to complete processes under minimal supervision.
• Uses tact and courtesy to give and receive information to a wide range of individuals.
• Ability to identify data discrepancies and rectify problems requiring attention.
• Ability to offer guidance or basic on-the-job training to more junior staff.
Language:
Fluency in both oral and written communication in English.
Knowledge of local language is highly desired.
