The Association of Southeast Asian Nations (ASEAN) was founded in 1967 with the purpose of promoting regional cooperation in Southeast Asia, in the spirit of equality and partnership and thereby contribute towards peace, progress and prosperity in the region. ASEAN comprises ten (10) countries in Southeast Asia, with Timor Leste as its 11th member with an “Observer” status. It was proclaimed a community through the “Kuala Lumpur Declaration on ASEAN 2025: Forging Ahead Together,” signed by the ASEAN Leaders during the 27th ASEAN Summit in Kuala Lumpur, Malaysia, in 2015. The ASEAN Community Vision 2025 calls for the ASEAN Community in forging ahead together, and to work towards building a community that is politically cohesive, economically integrated and socially responsible.

The ASEAN Secretariat was established in 1976 by the Foreign Ministers of the ASEAN Member States with basic functions of providing greater efficiency in the coordination of ASEAN organs and for more effective implementation of ASEAN projects and activities. It is also envisioned to be the nerve centre of a strong and confident ASEAN Community that is globally respected for acting in full compliance with its Charter and in the best interest of its people.

In alignment with the ASEAN 2025 and Key Aspirations of the three pillars of the ASEAN Community, namely the ASEAN Political-Security Community (APSC), the ASEAN Economic Community and the ASEAN Socio-Cultural Community, supported by the Department of Community and Corporate Affairs, the ASEAN Secretariat is inviting qualified Indonesian Citizens or ASEAN Nationals who are already residing and eligible to work in Indonesia to apply for the position of Associate Officer, Community Relations Division, Community & Corporate Affairs Department.

Remuneration and Benefits:
Successful candidate will be offered a basic salary of IDR 12,027,750 and attractive remuneration package including monthly transportation allowance, outpatient medical reimbursement, hospitalisation & life insurance, annual bonus of a month’s basic salary, and gratuity. Subject to good performance during the probation, the candidate will be offered a fixed term contract of three (3) years, inclusive of the six-month probationary period. Please note that ASEAN Secretariat Staff shall not be retained in active service beyond the age of 60 years.

Responsibilities
  1. Reporting to the Assistant Director and Senior Officer of Community Relations Division (CRD), the Associate Officer shall be responsible for the following duties:
    1.  Coordinate timely production and publication of in-house video contents:

    • Plan, shoot, and edit high-quality videos for the Secretary-General (SG) of ASEAN as well as the Deputy Secretaries-General (DSGs), at various ASEAN events, meetings, and initiatives.
    • Capture footage of key moments, speeches, presentations, and interactions to create engaging video content.
    • Online and Offline Editing to enhance video footage, audio, and graphics to produce professional-quality videos.
    • Add music, voiceovers, subtitles, and visual GFXto enhance the storytelling and engagement of video content.
    • Manage multiple projects simultaneously and deliver video content within specified timelines and deadlines.
    • Prioritise tasks, allocate resources effectively, and adapt to changing requirements to meet project milestones.

    2.    Coordinate and manage live event coverage:

    • Live stream events, conferences, and seminars organised by ASEAN to reach a wider audience.
    • Ensure smooth operation of equipment, audiovisual setup, and live broadcast during events.

    3.    Provide support to CRD’s Digital Content Creation: 

    • In cooperation with OFR Graphic Design, ASO Social Media & ASO Photography, produce multimedia content, including promotional videos, documentaries, interviews, and visual storytelling pieces.
    • Collaborate with communication teams to develop creative concepts and visual narratives for multimedia projects.

    4.    Undertake manage and maintain the required videography tools and equipment.

    • Maintain and operate video recording equipment, cameras, lighting, sound, and editing software.
    • Keeping abreast on the latest trends, technologies, and best practices in videography and video production and post production.

    5.    Support the Division’s content database management:

    • In cooperation with ASO Photography, effectively manage all raw and edited master files to ensure proper archiving for every videos produced for easy access and retrieval.
    • In cooperation with OFR Publication, ensure compliance with copyright laws, permissions, and data protection regulations for video content.

    6.    Support the implementation of ASEAN Communication Masterplan:

    • Work closely with digital communication teams, event organisers, and stakeholders to align video content with messaging and branding guidelines.
    • Coordinate with external vendors, contractors, or freelance videographers as needed for specific projects.

    7.    Provide support in ensuring the implementation of ASEAN Guidelines of the Use of Emblem, and ASEAN Corporate Branding Manual:

    • Review and evaluate video content for accuracy, quality, consistency, and alignment with ASEAN’s communication objectives.
    • Seek feedback from supervisors, colleagues, and stakeholders to continuously improve video production processes and outcomes..

    8.   Perform other relevant functions as may be assigned by Supervisors namely ADR (CRD), DIR (CMAD), DSG (CCAD). 

Qualifications
    • Bachelor’s degree in communication science/ visual communication design, or other relevant fields with a minimum of two (2) years relevant work experience.
    • Proven experience in producing  video content from creating story board, script writing, directing, shooting, and editing the raw footages. Experience working with diplomatic/high-level officials is preferred.
    • Proven excellence in written and spoken English, notwithstanding the use of local language may be required when interacting with the local partners and stakeholders.
    • Can express thoughts clearly, accurately, and succinctly in writing and through conversation/orally.
    • Possesses sound people skills to develop, maintain and manage professional working relations with various stakeholders.
    • Able to manage and coordinate several tasks and related divisions/institutions with minimum supervisory.
    • Demonstrated knowledge and policy, research and technical skills in the relevant area and ability to acquire them Candidates with concrete knowledge and experience of using digital/social media and online knowledge management tools are preferred.
    • Proven skills in problem solving in a complex organisational environment and in work planning.
    • Proven ability for accuracy under pressure and adherence to deadlines.
    • Commitment to teamwork and collaborative work practices.
    • Follow the approved Standard Operating Procedures.
    • Available for travel.
    • Sound understanding of international and regional issues and knowledge of ASEAN ideals.
    • Wide exposure to a range of work spectrum, including community and corporate affairs, office management, public relations, and communications.
