Reporting Associate

Organizational Setting and Work Relationships
The Reporting Associate will fulfil internal and external reporting requests. S/he is supervised by the Reporting Officer or another professional staff depending on the staffing structure of the Office. The incumbent receives regular guidance and advice from the supervisor. Advice and operational support may also be received from other senior staff and support units at the Country Office / HQ. The incumbent will establish strong liaison with both internal and external parties, including Donors, UN Agencies, and Implementing and Operational partners.

They do so within their delegated authorities, in line with the regulatory framework of UNHCR which includes the UN Charter, UN Staff Regulations and Rules, UNHCR Policies and Administrative Instructions as well as relevant accountability frameworks. Duties
– Stay abreast with the operational developments and assist in the preparation of briefing notes and reports.
– Assist in consolidation of data and facilitate the preparation of periodic reports including Sitreps, Fact Sheets and other activity specific reports.
– Liaise with internal and external partners to gather information.
– Work closely with Information Management Unit to ensure accurate and standard data presentation.
– Assist in the development of funding submissions, appeals and reports.
– Prepare and distribute meeting minutes.
– Consolidate and provide inputs for donor reports.
– Enforce compliance with reporting requirements.

– Support the identification and management of risks and seek to seize opportunities impacting objectives in the area of responsibility. Ensure decision making in risk based in the functional area of work. Raise risks, issues and concerns to a supervisor or to relevant functional colleague(s).
– Perform other related duties as required.

Desired Candidate Profile

Familiarity with displacement and refugee issues in Kenya. Experience working in donor relations and/or reporting to donors is essential. Ability to provide support to and work with various technical teams when developing proposals and briefing documents. Strong technical skills in MS Word/Excel/.PPT/design will also will be useful to this particular function. The ability to work independently and creatively to develop high quality products will be an added advantage.

Nature of Position:

Kenya remains the fifth largest host country in Africa and the thirteenth biggest asylum country in the world. The total number of refugees and asylum seekers in Kenya stands at approx. 800,000, in addition to some 8,000 stateless persons. UNHCR Kenya Operation maintains three main offices as follows: Representation Office in Nairobi, Two sub-offices in Kakuma and Dadaab. A Joint Refugee Service Centre has also been established, operated jointly with the Department of Refugee Services, to provide all protection services to affected populations in Nairobi.

In line with the Global Compact for Refugees (GCR) and the 2023-2026 UNHCR Kenya Multi-Year Strategy, the operation will continue to focus on further expanding the protection of refugees and promoting solutions as well as to continue working on the activities/targets partially by partners and through direct implementation and in close coordination with other stakeholders.

The Reporting Associate will report to the External Relations Officer and work closely with all the units in the Representation Office and will support the two field locations. In addition to the duties listed in the Job Description/ToR, the incumbent will also;

– Draft proposals and reports against various funds and grants for the UNHCR Kenya office.

– Liaise with the Sub-Offices when developing proposals and drafting reports to ensure information is factual and coherent, and in line with donor requirements.

– Supporting the drafting of briefing kits and notes.

– Drafting key documents and communication for the external relations unit and in support of the executive office.

– Support with analysis of data using MS systems for various reports.

– Provide support in developing graphics for reports and proposals.

– Work closely with the communications team and track donor communications and visibility requirements.
