INTRODUCTION
The Danish Refugee Council (DRC), an international non-governmental organization (NGO), has been providing relief and development services in the Horn of Africa since 1997. DRC promotes and supports solutions to the problems faced by refugees, internally displaced people (IDPs), and migrants. The organization has offices across the region and has been operational in Ethiopia since 2009. With funding from bilateral and multilateral donors, DRC is currently implementing a range of activities across Ethiopia, including WASH and shelter provision, child and youth protection, gender-based violence response, awareness-raising of migration risks, protection monitoring of migration routes, and livelihoods support for returning migrants or those at-risk of migration.
OVERALL PURPOSE OF THE ROLE:
This role has a country focus and ensures compliance to DRC procedures and guidelines within the country. The role contributes to the development of country strategies, which are translated into action plans and day-to-day tasks. The role provides support and/or technical guidance to country operations while overseeing country activities.
Responsibilities and tasks
Support and administration
- Ensuring all the warehouse management processes are in line with DRC Operations Handbook
- Effective and efficient support to programs’ needs.
- Develop and maintain relevant data base.
- Maintaining the items destination follow up process with field office.
- Weekly and monthly status reports
- Warehouse management, including reporting and alert mechanism to program staff.
- Assist in recruitment, training, and capacity building of the logistics team.
- Coordination of programme staff to ensure logistics involvement in the whole programme cycle.
- Establish and follow up annual inventories in the warehouse.
- Correctly apply ERP supply chain processes”
- Receive goods from suppliers and other sites; inspect for damage or missing items; update all warehouse documentation.
- Dispense goods to staff, sites, and programs. This includes packaging goods if necessary and updating all warehouse documentation.
- Make sure warehouse is organized in a logical way so that materials can be located and counted easily, and there is sufficient space for movement and operations.
- Implement and ensure clear loading/unloading/ procedures, correct stacking and turnover/FIFO/ procedures.
- Properly use the warehouse register for incoming and outgoing materials.
- Ensure proper documentation of waybill equipment issuance form delivery report store release dumping sheet and IRC’s filing protocol.
- Carries out daily, weekly, and monthly stock reconciliation.
- Ensures documentation and warehousing is kept according to grant agreement donor rules and regulations.
- Ensuring all the Fleet and Asset management processes are in line with DRC Operations Handbook
- Effective and efficient support to programs’ needs.
- Develop and maintain relevant data base.
- Work with the Supply Chain Manager to design a suitably staffed and equipped transport function to support the DRC’s vehicle operations and policies
- Manage and be accountable for the vehicle fleet, ordering and spare parts management of all vehicle related parts and consumables, including fuel
- Focal person for all purchases in transport department. Raising PRs for vehicles spare parts and vehicle repairs
- Ensure that appropriate communications equipment is installed and functioning in IRC vehicles to meet the operational and security requirements.
- Ensure the correct and timely routine maintenance and repair of IRC vehicles and generators.
- Ensure that all vehicles carry the required on-board documentation and that all documents are kept current (including insurance).
- Prepare weekly and monthly report on transport department and discuss with Supply Chain Manager.
- Signing on vehicle fuel forms for refueling and keeping accurate record and monitoring system on fuel consumption.
- Work with the Supply Chain Manager to ensure that vehicles are prepared for routine and emergency security requirements.
- Perform any duty assigned by immediate supervisor.

Experience and technical competencies: (include years of experience)
- 4 years’ experience for Diploma or above 2-year experience for BA holders
- High integrity, pro-active, stable, robust character and a good team-player
- Excellent communication skills
- Excellent analytical and negotiation skills
- Experience in working in NGOs
- Proven commitment to accountability practices.
- Knowledge of computers: word processing, database management packages.
EDUCATION: (include certificates, licenses, etc.)
- BA BM, Supplies Management or other relevant business fields.
LANGUAGE: (indicate fluency level)
- Excellent verbal and written proficiency in English.
