Job Title: Logistics Associate (Warehouse Management)

JOB PURPOSE:
To provide specialized support functions and/or supervise staff performing standard logistics/supply chain processes and activities to enable effective delivery of goods and services for all delivery modalities.
KEY RESPONSIBILITIES (not all-inclusive, nor exhaustive):
1. Provide specialized support to logistics operations and activities, following standard processes and contributing, directly or indirectly, to the effective delivery of food assistance to beneficiaries.
2. Manage logistics vendors’ contracting activities including performance monitoring and measurement.
3. Support gathering market intelligence, vendor assessments (e.g. transporters, retailers) to support vendor selection process.
4. Identify, resolve and/or provide recommendations on specialised queries/requests for support, using initiative and following standard processes, to ensure timely and accurate resolution of enquiries with excellent client service mind-set.
5. Prepare, monitor and revise budget for all delivery modalities, ensuring adherence to relevant procedures and in compliance with corporate standards.
6. Monitor inventory management processes to track trends and account for the inventory status from source to beneficiary.
7. Support oversight for commodity accounting data quality and integrity.
8. Analyse operational pipeline and contribute to assessments and operational planning for all delivery modalities, to ensure that supply chain requirements are taken into consideration.
9. Manage documentation processing for execution of logistics operations (e.g. customs clearance, invoice verification), take appropriate actions to resolve operational issues escalating complex issues to the supervisor.
10. Perform research, collect data and conduct analysis, produce reports (e.g. CCTI, SPRs, financial closure, physical inventory, transport performance) and ensure information accuracy in corporate systems to enable informed decision-making.
11. Liaise with internal and external stakeholders to support logistics operations management and contribute to effective service delivery.
12. Supervise the work of support staff, providing practical advice and guidance, to ensure individual and team objectives are delivered to agreed standards and deadlines for all assistance modalities.
13. Support logistics emergency preparedness and response activities including Logistics Capacity Assessment and Contingency Plan update, to support WFP’s response in emergencies.
OTHERS REQUIREMENT:
1. Coordinate requisitioning, receipt/dispatch of commodities to ensure accurate recording, accounting and reporting at all times and ensure timely delivery of commodities and supplies to authorised partners and destinations.
2. Responsible for the effective planning and management of warehouse operations, to ensure safe and efficient warehousing and storage of all commodities and supplies.
3. Contribute to review of WFP corporate warehouse standards and procedures, to support efficiency and changing business needs.
4. Responsible for the accuracy of warehouse transaction records including identification of discrepancies, to ensure immediate and accurate reporting on commodity movements in line with the corporate requirements.
5. Responsible for inventory management (e.g. physical stock verification, reporting, etc.), to ensure any existing and developing issues with regards to proper stocks management are timely addressed and WFP standard procedures for commodity handling and storage are strictly followed from source to beneficiary.
6. Supervise preparation and/or prepare regular and ad hoc reports and statistics on warehouse operations, to support informed planning and decision-making.
7. Oversee safeguarding of commodities through providing guidance on and taking initiative towards implementation of preventive measures, to ensure that commodities are preserved in good condition and that quality control actions are initiated as appropriate following WFP established procedures.
8. Act as a food quality and safety focal point in the field to support the collection of data and contribute to the preparation of reports relating to food quality and safety, to inform risk management and mitigation.
9. Act as an information management focal point for the supply chain team in consolidating preliminary data analysis, draft reports and disseminate information on market trend, etc.
10. Review on periodic basis warehouse space availability, plan and implement new design layouts to support business needs and ensure cost-efficiency.
11. Lead the warehouse or storage assessment for cooperating partners or conduct a market study for the commercial warehouse options.
12. Identify training needs and efficiently plan trainings, to ensure that all staff have required knowledge and skills to carry out their responsibilities.
13. Supervise warehouse staff, to ensure high performance standards.
14. Others as required.
STANDARD MINIMUM QUALIFICATIONS:
Education: Bachelor’s degree in Supply Chain Management, Logistics, Economics, Engineering, Data Science, Operations Research, Law, Mathematics, Agriculture, or equivalent is required.
Skills and Experience:
Language: Fluency in both oral and written communication in English is required.
