Position Overview

Under the guidance of the Program Manager, the Program Coordinator – Migration Portfolio will provide technical, financial, and administrative support for projects that aim to support asylum seekers, refugees, and vulnerable migrants in Latin America and the Caribbean. The Program Coordinator will be expected to form positive working relationships with HQ and field staff and to take initiative by troubleshooting problems and finding practical solutions in a fast-paced environment. Based in PADF’s Washington, DC headquarters office, and will require the Program Coordinator to work at the DC office at least three times per week.

Essential duties and responsibilities

The Program Coordinator’s responsibilities include:

  • Acting as a point of contact between the field offices and the HQ team, partners, and donors when needed.
  • Monitoring key project activities, timelines, deadlines, and deliverables to ensure efficient project implementation.
  • Drafting high quality project reports, written documents, summaries, and emails for submission to meet donor requirements.
  • Translate, summarize, and synthesize relevant information from Spanish into English, as necessary.
  • Ensuring all project grants and partner organizations follow PADF donor regulations.
  • Supporting general program management efforts, including budget tracking of program activities and outputs.
  • Performing research and analysis supporting implementation of projects in the field.
  • Assist with the review and analysis of documents and information received from partners and/or field teams.
  • Assisting in the tracking of sub-partners’ performance, provide feedback, guidance and assistance as needed to ensure successful program implementation.
  • Liaise with other programs, finance and administrative teams within the organization and contribute to the organization’s overall interdepartmental effectiveness.
  • Managing internal PADF program administrative procedures and ensure compliance with PADF policies and procedures.
  • Assist in ensuring that all program documentation is current and complete.
  • Maintain program tracking documentation and databases.
  • Support projects as needed with correspondence, research, and other tasks as assigned.
  • Support proposal development processes as needed.
  • Travel to projects in Latin America and the Caribbean as required.
  • Perform other duties as assigned.

Required Qualifications

  • BA/BS degree in international relations, political science, public policy, economics, or related field required. Master’s degree (or equivalent experience) strongly preferred.
  • Minimum of 3 years of work experience in international development, disaster management, democracy and human rights, or related field.
  • Experience with grant coordination, financial tracking, or monitoring and evaluation required.
  • Experience and working knowledge on migration and refugee issues in the LAC region and the organisms that provide assistance towards those individuals such as DOS/PRM, UNHCR, etc.
  • Written and spoken fluency in English and Spanish is required; Portuguese and/or French is a plus.
  • Exceptional writing skills to effectively prepare clear and concise reports, strategies, and/or proposals.
  • Experience in working with local communities, civil society partners, and government officials is highly desired.
  • Proficient in standard computer applications such as Microsoft Office (Word, Excel, Outlook, and PowerPoint).
  • Knowledge and proficiency in systems like PowerBI, SharePoint, and Unit4 or similar software are highly desirable.

Salary Range: $60,000 – $73,140.

A candidate’s salary is determined by multiple factors including, but not limited to, relevant work experience, job-related knowledge, skills, abilities, and internal organizational equity.
