Job Title : Finance and Administrative Assistant

Duration : 12 Months (Renewable)

Post Grade : SC L5

Duty Station : Bolgatanga

JOB PURPOSE:

To support effective delivery and maintenance of client-focused, value-for money-oriented quality administrative and finance practices.

MAJOR DUTIES AND RESPONSIBILITIES

Under the direct supervision of the Head of Sub-Office Bolgatanga the Administrative and Finance Assistant will be responsible for the following duties.

1. Check the provision of a range of services, including facilities and light vehicle management, travel, protocol related, etc., maintaining information, to contribute to the provision of a safe and comfortable working environment.

2. Collate and process information including dissemination to support the production of standard documents and reports for the unit, to enable decision-making and the effective management of resources.

3. Manage and maintain paper and electronic records within the area of responsibility in accordance with established procedures, to ensure swift and easy data access as required.

4. Undertake research and perform basic analyses of data, to contribute to the provision of accurate information and effective management of resources.

5. Be a first point of contact for internal queries, to facilitate the provision of efficient and effective resolution of daily issues.

6. Provide inputs to routine methods and practices in own area of work, to support the continuous improvement of services provided.

7. Assist in providing the procedural and technical support to staff within the areas of finance and budget, to ensure compliance with WFP financial policies, rules and regulations.

8. Monitor monthly expenditure forecasts and provide expenditure reports in order to facilitate informed decision-making.

9. Monitor the petty cash account regularly, to ensure that adequate funds are available and appropriately disbursed.

10.Verify vendor claims, advances and other receivables and observe appropriate procurement procedures, to ensure that suppliers are paid in a timely manner and in conformance with WFP finance rules and regulations.

11. Assist in compiling information from various sources in order to prepare reports relating to budgets, accounting, finance and statistics.

12. Retrieve, format and validate information obtained from various financial information systems and bring any discrepancy or inaccuracy to the attention of the supervisor and follow up corrective actions.

13. Maintain the web-based register for all invoices and payment transfers and record paperwork, to ensure that all documents are maintained and filed in compliance with WFP standards and guidelines.

14. Monitor and record all expenses in line with the approved budget in order to ensure that correct expenditure costs are charged and payments to external suppliers, cash grants and other supplier invoices are processed in a timely manner.

15. Provide guidance and on-the-job training to other support staff, to ensure services are delivered consistently and to the required standards.

16. Perform other related duties as required.

Minimum Academic Qualifications Guide

First degree in Business Administration, Economics or other related fields corresponding to the advertisement. Advanced degree in the related functional area is desirable.

Desired Experiences for entry into the role:

A minimum of five (5) years of progressive experience in administration and finance or other related fields.

Language: Fluency in both oral and written English language is essential.
