ORGANIZATIONAL CONTEXT

The UN World Food Programme (WFP) Nordic and Baltic Office in Copenhagen works to strategically position WFP as an innovative leader in food security and nutrition with the Nordic and Baltic governments, political stakeholders, foundations, private sector, academia and other partners in the Nordics and Baltics. The office provides a strategic entry point to the Nordic and Baltic public, political and private partners which collectively were the 4th largest overall donor to WFP in 2023. Through proactive advocacy, effective positioning and engagement, the office creates enabling environments to increase regional support to WFP and the broader global food security agenda

THE ROLE

The Business Support Assistant delivers a range of routine business support tasks, to ensure that office operations and staff are effectively supported. This position involves supporting administrative and financial tasks, including supporting work on the office budget and facilitating staff travel and logistics. Under the supervision of the Director of the office, they will also assist with other HR-related duties, contributing to a collaborative and efficient work environment that advances the mission of the WFP.

KEY RESPONSIBILITIES (not all-inclusive, nor exhaustive):

  • Provide a set of standard business support activities, where required, to contribute to the effective functioning of business operations.
  • Respond to routine queries received and escalate where appropriate, to provide a timely and accurate service to clients.
  • Make travel arrangements and support events, etc., to support staff to work effectively.
  • Support the maintenance of office files, documents, and recordsin accordance with established systems and knowledge management processes so that information is current and readily available for staff.
  • Undertake standard data entry tasks in accordance with defined systems, to ensure information is organized and readily available.
  • Support with the procurement of office supplies and IT needs, ensuring that the office is well-equipped and maintained, and support with budget monitoring.
  • Carry out additional tasks and responsibilities as needed to support the overall functioning of the Office.

QUALIFICATIONS AND EXPERIENCE

Education: Completion of secondary school education.

Experience: Three or more years of experience in general administrative work.

Language: Fluency in written and verbal communication in English required with working knowledge of another UN language desirable. Working knowledge of Danish language is an asset.

SPECIFIC POST REQUIREMENTS

Essential

  • Knowledge of standardized business support work routines and methods.
  • Ability to support procurement processes, including ordering and inventory management of office supplies and IT equipment, and supporting budget processes and invoicing.
  • Organizing travel arrangements and managing logistics for staff and visitors, including accommodations and transportation;
  • Some experience in supporting HR functions, such as recruitment processes, maintaining personnel records, and managing employee inquiries;
  • Uses tact and courtesy to give and receive information with a variety of individuals. Ability to work to deadlines and follow clear instructions.
  • Strong interpersonal skills and the ability to provide excellent service to different stakeholders; and work harmoniously with people of different national and cultural backgrounds, government officials, and other UN agencies and multilateral institutions

Desirable

  • General knowledge of UN policies, rules, regulations and procedures is an asset

Knowledge and Skills:

  • Ability to use standard office equipment such as photocopiers and scanners.
  • Knowledge of standardised business support work routines and methods.
  • Knowledge of standard office software packages, e.g., Microsoft word.
  • Uses tact and courtesy to give and receive information with a variety of individuals.
  • Good attention to detail to identify data discrepancies.
  • Ability to work to deadlines and follow clear instructions.

TERMS AND CONDITIONS

General Service Staff positions are recruited locally. To be considered for this role, applicants must be citizens of the country where the job is located or have a valid visa/work permit and live within a reasonable commuting distance (1.5 hours) from the workplace at the time of application.

If not residing within commuting distance at the time of application, candidates must reside already in Denmark and be willing to relocate to Copenhagen, Denmark, at their own cost before taking up the assignment. WFP will not cover relocation costs, living expenses, or assistance with residency or work permits
