IOA is seeking a Database Manager for its Philanthropy department. Reporting to the Director, Development, the Database Manager is an integral part of the mission-driven Philanthropy team, responsible for all donor database management and administration to maximize fundraising efforts. This position is responsible for data quality and hygiene, donor records, gift entry, and data analysis, including regular reporting within and outside the Philanthropy department.
KEY RESPONSIBILITIES

Fundraising Support

  • Utilize database expertise to support all stages of the prospect pipeline and drive the Philanthropy department’s moves management process

  • Act as the department’s expert on Raiser’s Edge and identify, suggest, and implement ways the CRM can support overall fundraising efforts

  • Keep gift opportunities, actions, and other data updated and accurate in the database and tracked appropriately

  • Partner with Philanthropy and Marketing colleagues to ensure online gift options are available, functioning correctly, and meeting the needs of donors

  • Maintain standard operating procedures for use of the database including activities related to prospect management, cultivation, solicitation, and stewardship

  • Track event sponsorship solicitations, invitations, ticket purchases, and attendance in CRM

  • Collaborate with frontline fundraisers as an essential part of the Philanthropy team

Reporting and Analysis

  • Develop analytics to monitor the success of different fundraising strategies and platforms

  • Prepare weekly revenue reports

  • Provide bimonthly reports for the Philanthropy Committee

  • Perform complex queries, exports, and reports both as requested and proactively

  • Collaborate with Philanthropy and Marketing team members to generate mail and email lists for appeals, invitations, stewardship, and other communications

  • Liaise across departments to collect prospect information and generate mail and email lists as appropriate

  • Conduct monthly and annual reconciliation between Philanthropy and Finance Department

  • Provide post-event reporting

  • Generate annual analysis of donor trends

  • Prepare research profiles and reports for internal and external partners to inform their engagement and solicitation strategies

Gift Administration and Database Management

  • Ensure all gifts processing and donor data is collected and coded, including gifts, pledges, opportunities, and actions

  • Process all gifts and generate timely gift acknowledgements

  • Perform database quality control and cleanup

  • Adhere to best practices and accurate, complete record keeping

  • Serve as point of contact for Finance regarding gift allocation and information

  • Manage external vendor relationships, including Blackbaud/Raiser’s Edge

Communications and General Administration

  • Partner with Philanthropy and Marketing Departments on donor e-newsletter

  • Train staff in the effective use of the Raiser”s Edge database and Raiser”s Edge NXT database

  • Serve as a direct point of contact for donors

  • Support internal Philanthropy Department processes with Procurement and Accounts Payable

  • Other duties as assigned

REQUIRED QUALIFICATIONS

  • Minimum 3 years of relevant experience

  • Current/prior experience working with CRM software

  • Proficiency and experience in database management and administration, query writing, prospect and constituent management

  • Bachelor”s degree or higher from an accredited college or university or 4+ years of experience in lieu of a bachelor”s degree

  • Strong proficiency in Microsoft Office Suite and Windows, particularly Microsoft Excel and Teams

  • Excellent organizational, interpersonal, oral, and written communication skills

  • Strong attention to detail and the ability to make sound and timely decisions

  • Ability to work both independently and collaboratively and demonstrated excellent interpersonal skills

  • Demonstrated flexibility; is self-motivated and possesses a drive for results

  • Demonstrated interest in working within a multicultural and team environment

DESIRED QUALIFICATIONS

  • Bachelor’s degree or higher from an accredited college or university

COMPENSATION

Range: $82,000 – $94,000/Annual

This amount is not necessarily reflective of actual compensation that may be earned, nor a promise of any specific pay for any specific employee, which is always dependent on actual experience, education and other factors.

This range does not include any additional equity, benefits, or other non-monetary compensation which may be included.
