JOB DESCRIPTION

UNOPS has been present in Bangladesh since 2003. In 2014 UNOPS established as formal representation as a response to the UNOPS Executive Board in order to provide more substantial support to the Government of Bangladesh and other clients in the different areas focusing to Resilient Infrastructure Approach, Program & Project Management, Fund Management, Procurement, Human Resources, Financial Management emphasizing on building national capacities, improving resilience of communities with a view of contributing to the implementation of the SDGs.

1. Learning and improving logistics and asset management:

  • Participate and provide feedback and new ideas to the process of maintenance and safe and secure storage of all office equipment and property.
  • Inspect all office equipment and assets to ensure accuracy of inventory lists and property records, while recommend areas of improvement based on the inspection and analysis of records
  • Provide notes for improving the coordination of transportation services, regular vehicle maintenance and insurance. Checking and certifying of vehicle daily log and fuel consumption, update and maintenance of vehicle history report.
  • Externally, coordinate with car rental companies to provide vehicles for projects in a timely manner. Follow up with suppliers to provide log sheets, invoices and supporting documents to facilitate the payment.

2. Helping improve Project Support Functions:

  • Develop a record keeping system for all operational and financial documents for ease of retrieval and reference.
  • Interaction with colleagues, clients and partners to recommend tools that can facilitate the exchange of information on administrative issues and seek co-operation when needed. Assist and provide innovative solutions for the resolution of routine administrative and process problems, referring complex issues to the supervisor with recommendations for course of action.
  • In the absence of the support team member, follows up on urgent tasks and issues on behalf, ensuring that relevant duties and responsibilities are completed without delay
  • Develop a monitoring system to track status of submitted and pending requests, ensuring that tasks relating to units work and mandate are completed in a timely manner.

3. Provides support to knowledge building and knowledge sharing, focusing on achievement of the following results:

  • Participation in the training events for the programme, operations and projects personnel on administrative procedures.
  • Assists the conduct of Support Services Team Meetings in UNOPS Bangladesh Office, and prepares presentation, minutes and status reports for review and finalization.
  • Use of technology and electronic systems and tools to initiate work, share information with colleagues and clients.

4. Provide support to finance:

  • Analyze financial processes and contribute to the improvement of processes to enhance efficiency (speed, quality and client satisfaction)

Education:

  • Candidates must be currently enrolled in, or have recently completed (within 3 years prior to the application date of the internship) a Bachelor/Master’s/Ph.D. Degree in Accounting or Finance, Business Administration or related fields.
  • Professional qualification proven to be equivalent to a university degree shall be considered.
  • Completion of an Advanced University Degree in the relevant areas is a strong asset

Experience:

  • Applicants are not required to have professional work experience.
  • Experience in the usage of computers and software packages (Google Suite/Workspace Office) is highly desirable.

Language:

  • Fluency in English is required. Working knowledge of Bangla is preferred.

Contract duration: 12 months

This internship is not designed to lead to a staff position with UNOPS. Therefore, there should be no expectation of employment at the end of the internship.

Interns may be eligible for a monthly stipend from UNOPS provided that they do not receive funds from other institutions. Interns are responsible for their own arrangements for accommodation, travel, and necessary visa arrangements.
