JOB DESCRIPTION

Organizational Setting

FAOJO is implementing a project “Enhancing the resilience of Rural women through the valorisation of Forest Products” under the technical cooperation program, the project is aiming to enhance the food security and livelihoods of rural communities, under the project several interventions are planned to effectively enhance the resilience of the 120 beneficiaries, the project activities will be a comprehensive capacity building program, granting of toolkits and increasing the accessibility to the markets.

Reporting Lines

The National Technical Project Assistant will work Under the overall supervision of the FAO Representative and direct supervision of the FAO Representative assistant for programs.

Technical Focus

Support in the effective implementation of the project, using effectively the resources and inputs of the project.

Tasks and responsibilities

•    Support the project coordinator in the day-to-day implementation and management of FAOJO Technical cooperation program projects and letters of agreement with implementing partners, across multiple fields.
•    In close coordination with the project coordinator, establish and implement strong project cycle management tools and systems (i.e. kick off meetings, project review meetings, close out meetings, filing and documentation)
•    Ensure FAOJO’ project implementation is on time, scope of work and is using effective MEAL systems to reach desired impacts.
•    In close coordination with the Project coordinator, assist in ensuring that gender and protection-sensitive approaches are mainstreamed into partner projects in accordance to FAO gender guidelines, ensuring a gender action plan is in place for all projects, and actions are followed up.
•    support the project team in preparing project communication and advocacy material (including briefs, agriculture sector and food security updates, humanitarian profiles for donors, key stakeholders, headquarters and senior management), ensuring projects activities and outputs are well highlighted and presented;
•    Support implementation of activities under the assigned projects that are planned in partnership with FAO service providers, government and non-governmental entities (arranged through LoA, MoU or UN to UN Agreement), and assist in preparing LoAs for internal clearance to engage different service providers for the assigned project;
•    Provide relevant technical support and guidance to project team and consultants as necessary. Revise, adapt and input into training materials as appropriate for the changing contexts.
•    Coordinate the implementation of trainings and develop mentoring approaches that are most suitable in accordance to the training type.
•    Ensure links are created between FAOJO projects and other stakeholder projects.
•    Support implementation of activities under the assigned projects that are planned in partnership with FAO service providers, government and non-governmental entities (arranged through LoA, MoU or UN to UN Agreement), and assist in preparing LoAs for internal clearance to engage different service providers for the assigned project;
•    Participate in internal meetings, facilitate information sharing, assist in planning and coordination of internal activities;
•    Provide technical assistance: Provide technical assistance in areas of expertise; identify needs for short-term technical assistance; develop terms of reference; prepare consulting agreements for consultants, facilitates work; provide oversight of short-term consultancies;
•    Contribute towards coordination of office support services towards meetings, trainings, seminars, committees, and special projects and events; attend meetings, prepare minutes, monitor follow-up activities; make arrangements for formal editing, translation, etc., of documents and publications;
•    Establish and maintain cordial working relationships with and amongst project staff, stakeholders, and other relevant sectoral organizations;
•    Provide assistance in protocol related matters, as required;
•    Assist in monitoring projects activities cases other for which responsibility is assigned to;
•    Monitor and maintain relevant information and databases on training, workshops, missions and seminars;
•    Follow up on a broad variety of administrative and logistical actions necessary for the timely implementation of the project activities including supporting the recruitment actions, supporting the travel requests, arranging the training and workshops, briefing schedules, assist in the procurement of equipment, works and services as well as partnership agreements through LoA/MoU etc;
•    Support organizing meetings including venues, facilities, catering and security clearances and provide administrative and logistics support at these events;
•    Support acting as disbursing officer for conferences and meetings, ensuring that entitlements are properly accounted for and disbursed;
•    Performing any other duties as required

CANDIDATES WILL BE ASSESSED AGAINST THE FOLLOWING

Minimum Requirements  

•    University degree in Agriculture, economy, business administration or other area relevant to the technical focus of the project
•    A minimum of four years of relevant experience in the fields of project support, project implementation, monitoring and evaluation, communication, gender inclusion mainstreaming
•    Working knowledge of English and Arabic is requested
•    National of Jordan
