Job Purpose

 

Under the direct line management of the Finance Project Manager, the Project Coordinator – Finance is responsible for overseeing and managing financial projects. The role combines project management expertise with a deep understanding of financial processes, systems, and regulations. The Project Coordinator – Finance will assist in managing the financial aspects of various projects within the organization. The role will work closely with the Finance Project Manager to ensure the smooth execution of financial tasks/projects, including the capex budgeting process, facilities management, financial analysis, and reporting. The role should have a strong understanding of finance principles, excellent organizational skills, and the ability to thrive in a fast-paced environment.

This position will be based at the IRRI Headquarters, Los Baños, Philippines, and may only be filled by permanent citizens of the Philippines.

 

Roles and Responsibilities

 

  • Construct project plans, identify resource requirements, and develop timelines and budgets that are aligned with the Finance goals.
  • Coordinate project schedules, timelines, and resources to ensure timely completion of project milestones and deadlines.
  • Analyze financial data, conduct feasibility studies, and provide financial insights to support project decision-making.
  • Allocate and manage financial resources effectively.
  • Ensure financial projects adhere to applicable regulatory requirements and financial regulations.
  • Contribute to continuous improvement efforts by identifying opportunities to streamline processes, enhance efficiency, and optimize project outcomes.
  • Engage and work with the project team members for the planning and execution of new processes, workflows, reports, and dashboards.
  • Collaborate with cross-functional teams to facilitate communication, resolve conflicts, and ensure smooth project execution.
  • Oversee the development of the project and ensure that team members are carrying out their tasks efficiently.
  • Work collaboratively with the process experts for the day-to-day operational activities of the organization and provide insights into operational processes, efficiency improvements, and resource allocation.
  • Develop and deliver training programs to end users.
  • Conduct comprehensive feasibility studies and financial analysis to assess project viability.
  • Develop detailed project plans including resource allocation and budget.
  • Delivery of project objectives as defined in specific projects or initiatives.
  • Create and manage project budgets, track actual costs, and analyze variances.
  • Communicate project progress, milestones, and financial updates effectively.
  • Address stakeholders’ concerns, manage expectations, and foster collaboration.
  • Conduct regular project status meetings, providing financial updates and insights.
  • Obtain project sign-off and conduct a formal project closure process.
  • Conduct a post-project review, capturing lessons learned and identifying areas of improvement.

 

Qualifications

 

  • Master’s degree in accounting, Project Management, or related field with at least 5 years of experience, PMP certification is a plus

 

Skills Required

 

Mandatory

  • Strong organizational skills with the ability to prioritize tasks, manage multiple projects simultaneously, and meet deadlines.
  • Proven experience in project coordination, administration, or related roles, preferably in a fast-paced environment.
  • In-depth knowledge of financial principles, practices, and regulations
  • Strong proficiency in project management methodologies, tools, and techniques.
  • Ability to work independently with minimal supervision, as well as collaboratively within a team environment.
  • Excellent communication skills, both verbal and written, with the ability to effectively convey information and collaborate with diverse teams.
  • Strong leadership and team management abilities.
  • Detail-oriented mindset with a focus on quality and accuracy in project deliverables and documentation.
  • Strong problem-solving skills with a proactive and solutions-oriented approach.
