JOB DESCRIPTION

Org. Setting and Reporting
This position is located within the Office of the Director (OD), United Nations Office for Outer Space Affairs, in Vienna, Austria. The incumbent will work under the direct supervision of the Programme Management Officer supporting the Director, and under overall guidance of the Director, UNOOSA. The Office of the Director (OD) is responsible for supporting the Office’s overall direction, administration and management, leading external relations and public information activities, overseeing coordination and cooperation with entities involved in space-related activities, the maintenance of the United Nations Register of Objects Launched into Outer Space and the implementation of assigned partnerships, initiatives and activities, among which World Space Forum, Space for Women, Space Economy, Space for Youth, Space for Climate Action, Promoting Space Sustainability and Enhancing International Expertise in Registration of Space Objects.
Responsibilities
Within limits of assigned authority, the Programme Assistant will be responsible for the following specific duties: • Assist in the coordination of project planning and implementation for Space Economy, Space for Women, and preparation work for the Annual World Space Forum, and any other projects or activities to be initiated by OD. • Compile, summarize, and present information and data on Space Economy, Space for Women and for the preparation of the World Space Forum, and any other projects or activities to be initiated by OD. • Review project documents, including cost plans/budgets, for completeness and compliance with relevant rules and procedures prior to submission for final approval and signature; identify inconsistencies; distribute project documents to relevant parties upon approval. • Review budget revisions; verify availability of funds; ensure necessary approval and entry in computerized budget system. • Serve as focal point for administrative coordination of conferences and forums organized by OD such as the World Space Forum, involving extensive liaison with different organizational units to initiate requests, obtain necessary clearances, process and follow-up on administrative actions, e.g. travel arrangements, training/study tours, authorization of payments, disbursement of funds etc. • Compile, summarize and enters data on project delivery; draft related status reports, identifying shortfalls in delivery, budget overruns, etc., and bring to the attention of management. • Draft correspondence on budget-related issues and prepare and update periodic reports, briefing notes, graphic and statistical summaries, accounting spreadsheets, etc. • Provide general office assistance; respond to complex information requests and inquiries; review, log and route incoming correspondence; set up and maintain files/records; organize meetings, workshops; handle routine administrative tasks, such as maintaining attendance records, assessing telephone billing, etc. • Provide guidance/training to new/junior staff. • Assist with the collection and analysis of data as well as preparation of data presentations and reports for information sharing, responding to queries, knowledge management, planning and decision making. • Assist with UNOOSA communication actions incl. visualizations and updating information material such as web pages or brochures. • Collect and analyze data to identify trends or patterns and provide insights through graphs, charts, tables and reports using data visualization methods to enable data-driven planning, decision-making, presentation and reporting. • Perform other work-related duties as assigned.

Work Experience
Minimum 5 years of experience in programme or project administration, technical cooperation or related area is required. The minimum years of relevant experience is reduced to 3 for candidates who possess a first-level university degree or higher. Of the minimum years, at least 3 years of experience within the United Nations common system or a similar international organization are desirable.
Languages
English and French are the working languages of the United Nations Secretariat. For this position, fluency in English is required. Knowledge of another United Nations official language is an advantage.

Evaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.
