Job Summary:

Position Summary:

Under the direction of the Associate Director of Finance and Administration, the Finance Manager performs diversified accounting and reporting functions.

Key Responsibilities:

  • Assist the Associate Director of Finance and Administration in preparing yearly work-plan budgets for submission to the funder.
  • Review of all payment requests and determines the propriety and accuracy of all expenditures. Assures completeness of supporting documentation and coding in accordance with FHI 360 Malawi policies and procedures.
  • In coordination with the Associate Director Finance and Operations, review and analyze monthly financial budgets (Pipelines), both actual and projections. Direct and mange the program budget in accordance with the approved annual budget and monitor the expenditures on an on-going basis.
  • Oversee FHI360 Malawi Office monthly financial close including submission of related information to HQ.
  • Leads the month end close out processes.
  • Reviews bank reconciliations and other balance sheet accounts reconciliations.
  • Prepares weekly cash requests for review by the Director of Finance, Regional Office review and HQ disbursements.
  • In coordination with Associate Director of Finance and Operations, responsible for all financial reporting including annual VAT and PEPFAR Expenditure Reporting, USAID quarterly accruals report questionnaire completion, AP accrual reporting and VAT reporting
  • Prepares Country Office payroll and ensures that all statutory payments are accurately calculated in accordance with the Country Office laws.
  • Manage subaward monitoring plan and reporting.
  • Provide capacity development and technical support to sub-awardees to strengthen their grant management systems and ensure robust management of sub-agreements.
  • Coordinate all administrative support aspects in collaboration with relevant stakeholders to include procurement, facilities and vehicle management and travels.
  • Performs other duties as assigned.

Education and Experience:

  • University degree or higher diploma in Accounting, Finance and Business Administration or its recognized equivalent
  • Minimum of five years’ experience in accounting related to NGOs and community level programs, with increasing responsibility.
  • Experience must reflect the knowledge, skills and abilities listed above.
  • Bachelor’s degree in accountancy from a recognized institute

Qualifications and Skills:

  • Proven ability in accounting for medium to large, multifaceted programs
  • Ability to work with others and develop and maintain compatibility among project staff, subcontractors, and assistance recipients.
  • Well-developed computer skills
  • Well-developed written and oral communication skills

Travel requirements

  • 15% local travel to implementation districts and sub-recipients’ offices
