Reporting to the Managing Director and WBG Chief Administrative Officer (MDCAO), the Global Corporate Solutions Department (GCS) brings together the functions of Corporate Security (GCSSC), Corporate Real Estate (GCSCR), and Corporate Services (GCSCS).  All units report to the Director (GCSDR).

GCS’s Corporate Real Estate Division (GCSCR) supports IBRD, IDA, MIGA, and ICSID in realizing and executing their real estate needs worldwide.  It is a key interlocutor between Senior Management, operational management, and staff of the four organizations.  GCSCR’s primary purpose is to create safe, cost effective, functional space to meet the business needs for each unit so that they can perform the work that is needed to support the WBG mission to reduce poverty and raise prosperity for their clients.

To achieve its purpose, GCSCR led by the Senior Manager and is structured into 3 divisions: (I) HQ Real Estate Development & Management (GCSHQ) and (II) Global Real Estate Development & Management (GCSIR) and (III) Global Strategy and Planning (GCSSP). GCSCR also acts as the Secretariat for the WBG’s Real Estate Governance Framework, including supporting the WBG Real Estate Governance Council, chaired by the MDCAO, and the Real Estate Governance Group, chaired by the Director, GCS.

GCSCR is comprised of approximately 70 staff, leverages over 500 contractors, including for facilities management at HQ, and manages an annual facilities capital investment plan of ~$30 million at HQ. GCSCR works closely with the Regions on the Bank’s more than 100 country offices and manages several of the Bank’s owned (and larger leased) country offices.

The Project Manager position reports to the Senior Program Manager of Strategic Planning in the GCSCR HQ Real Estate Development and Management section. The position’s primary responsibility is to manage, maintain, and optimize the WBG’s Integrated Workplace Management System (FM Systems) software and infrastructure.  Please note, this is a three-year term appointment with no ability to renew or extend. The position will split their time between across the World Bank organizations focusing on integrating the IWMS systems.

Duties and Accountabilities

Duties and accountabilities include, but are not limited to:

Installation and Configuration:
• Responsible for the installation and configuration of the IWMS software and associated components.
• Customize configurations to align with WBG requirements.

System Maintenance:
• Regularly perform system maintenance tasks, including software updates, patches and security fixes.
• Monitor system performance and address issues to ensure optimal functionality.

User Management:
• Create, modify, and delete user accounts as needed.
• Assign appropriate roles and permissions to users to ensure data security and compliance.

Data Management:
• Oversee data management within IWMS. This includes data backup, restoration, and archiving to ensure date integrity.

Troubleshooting:
• Promptly investigate and resolve technical issues, errors, and performance problems related to the IWMS.
• Provide technical support to end-users and document issue resolutions.

Security:
• Implement and enforce security measures to protect sensitive data. This includes setting up user authentication, access controls, and encryption.
• Regularly audit and update security protocols.

Integration:
• Collaborate with IT teams to ensure seamless integration between the IWMS and other software systems used within the WBG.
• Ensure seamless data flow and consistency across platforms.

Reporting and Analytics:
• Assist users in generating reports and utilizing analytics tools within the IWMS, to gather insight, and make data-driven decisions.
• Provide training on reporting features and data analysis.

Documentation:
• Maintain detailed documentation of the IWMS setup, configurations and processes.
• Develop user guides and training materials.

Compliance:
• Ensure IWMS compliance with relevant regulations and industry standards, especially those related to data privacy, real estate management and facilities maintenance.

Performance Optimization:
• Continuously monitor the performance of the IWMS and make adjustments to optimize its performance, including hardware upgrades and software tuning.

Training:
• Conduct training sessions for end-users and staff.
• Foster a culture of self-service and user empowerment.

Vendor Interaction: 
• Act as a liaison between the WBG and the IWMS vendor, reporting and escalating issues as necessary and keeping up to date with new releases and features.

Change Management: 
• Act as a liaison between IBRD and IFC. This ensures that changes are smoothly and successfully integrated, while minimizing disruptions and resistance from employees.

Selection Criteria

• Bachelor’s degree with 5 years of experience or equivalent combination of education and experience in the field of computer science, IT systems administration, integrated workplace management software applications.
• Ability to manage IWMS platforms that track all aspects of real estate portfolios and enhance the system to optimize the efficiency and operations.
• Team player with strong interpersonal skills, and commitment to work in a team-oriented, multi-cultural environment, with minimal supervision.
• Experience working cross-functionally with a global organization.
• Exceptional writing and verbal communication skills.
• Strong PowerPoint skills with the ability to edit and prepare content for presentations to management would be preferable.
• Ability to coordinate with other team members and finalize products for publication and to clearly articulate messages to a variety of audiences.
• Proven capacity to multi-task, deliver results, and respond quickly and effectively to requests.
• Capacity to gather, analyze and coordinate data and to present it to management, staff, and others effectively.
• Ability to support facilitation, implementation, and monitoring of standardized processes, practices, policies, procedures.
• Certification and/or relevant experience in computerized workplace management considered an asset.
