JOB DESCRIPTION

Background

CO has tailored localized integral solutions to specific sustainable development issues and is crafting methodologies and toolboxes to deploy and escalate them across the country. This strategy requires excellent programme management and an organizational structure that reinforces the entire programming life cycle including planning, implementation, oversight, monitoring and evaluation, communications, and efficient operations. The new structure will strengthen UNDP’s role as a learning organization ‘fit-for-purpose’ to deliver on Agenda 2030. It is designed to provide the foundation for the whole public policy life cycle with a special emphasis at sub-national level that, as an engagement strategy, is expected to allow new areas of joint work and resource mobilization.

The Registry Unit follows the established filing and archiving standards and procedures, organizes, updates and maintains all project/programme-related documents as part of regional initiative (and other areas of the office, as required). Strives to maintain administrative control records such as commitments and expenditures, and proper control of supporting documents of funds and activities.

Duties and Responsibilities

1 Provide support for effective records control in the office

  • Scanning and ensuring proper digital filing of all office documents related to implementing agents, government institutions, individual as required, that must be retained in support of corporate policies.
  • Creating online records to be kept in archive as well as those to be disposed-off by distinguishing them by category of creation as per guidance by the Head of unit.
  • Creating a file with hyperlink to some of the documents linking the hard copies and online ones
  • Management of diplomatic pouch

  • Maintain administrative control records.

Required Skills and Experience
Education:

Candidates must meet one of the following educational requirements:

  • currently in the final year of a Bachelor’s degree; or
  • currently enrolled in a Master’s degree; or
  • have graduated no longer than 1 year ago from a master’s degree or equivalent studies.

Field of study: Information systems, administration or equivalent. 

 INTERNSHIP CONDITIONS

  • UNDP internships are not remunerated. All expenses connected with the internship will be borne by the intern or her/his sponsoring entity;
  • UNDP accepts no responsibility for costs arising from accidents and/or illness or death incurred during the internship;
  • Interns are responsible for obtaining necessary visas and arranging travel to and from the duty station where the internship will be performed;
  • Interns are not eligible to apply for, or be appointed to, any post in UNDP during the period of the internship;
  • Interns must provide proof of enrolment in health insurance plan;
  • Interns are not staff members and may not represent UNDP in any official capacity;
  • Interns are expected to work full time but flexibility is allowed for education programmes;
  • Interns need to obtain financing for subsistence and make own arrangements for internship, travel, VISA, accommodation, etc.
