Background

UN Women, grounded in the vision of equality enshrined in the Charter of the United Nations, works for the elimination of discrimination against women and girls; the empowerment of women; and the achievement of equality between women and men as partners and beneficiaries of development, human rights, humanitarian action and peace and security.

This is where UN Women would like to ensure that these critical areas of concerns are reflected, articulated, and tackled in key documents within the UN and addressed in various programming, policies and operational work. With the ongoing efforts to consolidate work and enhance programme delivery of UN Women Philippines Programme Office, it hopes to continue to engage with key stakeholders and strengthen relationships within and outside the UN structures through regular contributions of technical inputs as well as provision of support on various initiatives that would promote achievement of gender equality and women’s empowerment. This will be done guided by the new UN Women Strategic Note for 2022 – 2025.

It is in this regard, that UN Women hopes to continue to host dialogues and consultations, conduct policy research, develop gender snapshots, provide technical support via capacity building, gender assessments and co-create programmes and projects too.

Duties and Responsibilities

UN Women Philippines seeks the services of National Consultant for Events, Communications and Documentation Support to assist UNW-PPO to organize and coordinate key events – including but not limited to identifying and vetting key organizations and participants, ensuring attendance and participation of target stakeholders, arranging virtual/online technical requirements, and securing venues appropriate to various activities, document and communicate insights and results of various events. The consultant will ensure that all activities and events are coordinated, structured, and well attended by key stakeholders. Consultant will also make sure that events are documented and key insights and results from various discussions, conversations and activities are also effectively communicated to promote awareness about the programme in the country and the region too.

Specifically, the consultant will undertake the following tasks:

  1. Develop a database of important/strategic contacts, companies, and organizations key to all programming of UN Women
  2. Coordinate and organize events according to the workplan and calendar.
  3. Secure venues and suppliers to ensure success of meeting, events and activities.
  4. Documentation of all activities/event of UNW-PPO including highlights gathered during the event.
  5. Monitoring and inventory of knowledge product including promotional materials
  6. Draft marketing and communication materials to broaden UN Women Philippines engagement and visibility, for example quote cards, event poster, event backdrop, FB message etc.
  7. Maintaining a working knowledge of the complex needs of a wide variety of events.
  8. Work closely with UN Women Operations Associate for the administrative arrangements of activities, e.g. venue, meals, etc.; and in ensuring proper liquidation and submission of supporting documents for each activity

Expected deliverables and timelines

Upon approval of the following:

  • Support in organizing activities, events, and meetings as well as communication works.
  • Attending and participating in meetings and orchestration of activities until closing
  • Supporting communications and visibility plan
  • Status report on activity preparations of meeting, event and activities, including those under scope of works – Invites and documentation, pre and post event surveys, press release draft and distribution monitoring.
  • Documentation and drafting of marketing and communication materials to broaden UN Women Philippines engagement and visibility, for example quote cards, event poster, event backdrop, FB message etc
  • Collated reports and documentation on the outcome of all PPO activity/event/meeting.
  • Collated database of contacts, reports, documentation (with photos) of all events and activities conducted.
  • Filing system and online document depository
  • Debriefing session with CPC and other suppliers/partners as needed.
  • Other admin support needed for PPO
Every 30thof the month, 30 May 2024 to 31 December 2024

UN Women will provide the Consultant with substantive inputs to ensure that the completion of reports is in line with the objectives the organization. The Consultant is expected to work remotely using UN Women issued laptop, with reporting to UN Women office as needed, he/she may access the UN Women office for printing of relevant documents or should he/she be required to work on-site at any point during the assignment.

Supervision

The National Consultant for Events, Communications and Documentation Support reports directly to the Country Programme Coordinator in collaboration with other team members.

Required Skills and Experience

Education

  • Completion of secondary education is required. University degree (or equivalent) in Business, Accounting, Public Administration, or related field is an asset?

Expereince:

  • Minimum 5 years of relevant experience with a demonstrable ability in project coordination networking and support programming
  • Capability and proven experience in coordinating and implementing development projects and activities
  • Strong understanding and experience in the areas of gender equality and women’s empowerment, gender mainstreaming, gender analysis and the related mandates within the UN system,
  • Excellent analytical, facilitation and communications skills and the ability to engaged and negotiate amongst a wide range of stakeholders.

Language requirement:

Fluency in English and Filipino is required

Contract period and work location

The consultant will ideally be based in Metro Manila (official duty station in Philippine Programme Office – Mandaluyong). Work may be done from home on a flexible schedule with expectation of meeting coordination up to twice a week online and up to once a month in person at the UN Women Office. The contract period will be from May to December 2024.

Evaluation

Evaluation of candidate is based on profile/P11 (100%) for technical qualifications and financial offer for the role will be given to the best qualified candidate (subject for confirmation prior to contract preparation)
