Organizational Setting and Reporting Relationship

The position of Operations Assistant is assigned to the Portfolio Management Division (PSPM) within the Private Sector Operations Department (PSOD). You will be based at our Headquarters in Manila, Philippines.

You will report to the Principal Investment Specialist / Team Head of PSPM in HQ on administrative as well as operational matters.

Your Role

As an Operations Assistant, your role will be to provide administrative and operational support by coordinating administrative activities for the division’s unit; and providing administrative support for various activities relating to project administration. You will report to designated Unit Head Project Administration and will support a portfolio team comprising of International Staff (Deal Officers) and National Staff (Deal Analysts).

You will:

  • Ensure that all correspondence and documents for the portfolio team are prepared in compliance with ADB’s standards,
  • Provide administrative support by screening external calls and answers inquiries or routes them to respective staff within the portfolio team.
  • Ensure the effective coordination of team members’ schedules through efficient scheduling across offices and global time zones. Scheduling includes effective prioritization and resolving conflicts of competing demands. This also requires responding to internal meeting requests in a timely manner.
  • Organize mission travel, including forward planning, by reviewing and recommending appropriate flight options, planning mission itinerary, including transport and hotel accommodation, preparing meeting schedules, inputting mission authorization requests and travel requests and timely processing of expense claims.
  • Ensure that appropriate arrangements and confirmations are made for all external meetings/international events including, registration, materials, logistics, location, among others
  • Assist in project administration by ensuring all documents are processed following existing procedures and guidelines, coordinating review of project documents with relevant units in a timely manner, and monitoring timelines to meet deadlines.
  • Ensure that office filing systems and records (both electronic in SharePoint and physical) are properly maintained and updated for easy retrieval and tracks the flow of documents with the use of database for effective monitoring to meet deadlines.
  • Provide back-up support to other operations assistants as required.

Others

  • Perform any other duties as may be required and as reflected in your workplan. This will include but not limited to retrieving files/documents for preparation of reports, providing data in excel spreadsheet, preparing PowerPoint presentations with consistent formatting and preparing tables and charts for reports, assisting with consultant selections and contract variations, among others.

Qualifications

You will need:

  • Bachelor’s degree in business administration or a relevant discipline.
  • At least 5 years of relevant professional experience.
  • Ability to interact in a professional manner with ADB stakeholders, i.e. ADB staff and government officials.
  • Strong interpersonal skills; ability to develop rapport internally and externally in a multilateral environment.
  • Ability to work collaboratively with teams as a constructive team member.
  • Strong oral and written communication skills in English; good memo compositions and editing skills.
  • Exemplary planning, coordination and time management skills using MS Outlook and MS Teams.
  • Proficient in MS Office Suite (Outlook, Word, Excel, and PowerPoint, SharePoint )
  • Familiarity in videoconferencing tools (MS Teams, Zoom, Webex)

Additional Information

This is a fixed term appointment with option to renew for an initial period of three (3) years following Section 3.1 (b) of Administrative Order No. 2.01 (“Recruitment and Appointment’). This appointment is not convertible to a regular appointment. It may be extended on an exceptional basis for a further fixed period at the option of ADB. This appointment is open to internal and external applicants.
