Organizational Setting

The Office of Communications (OCC) is responsible for all corporate and internal communication activities of the Organization. It ensures coherence and consistency in FAO’s corporate messaging and communications’ outputs, as well as enables cost-effectiveness in use of communication-related resources across the Organization.

The post is located in the Digital and Multimedia Branch (OCCI) of the Office of Communications (OCC) at FAO headquarters in Rome, Italy.

Reporting Lines

The Digital Asset Management Indexing Specialist reports to the Communication Officer (Multimedia), multimedia pillar (photo, video, audio, digital asset management) in the Digital and Multimedia Branch, OCCI.

Technical Focus 

Knowledge management, metadata, information and digital asset organization.
Assist in managing the proper ingest, cataloguing and access to digital assets based on strong metadata and best practices of quality assurance.  Responsible for logging, archiving, organizing digital assets and other various tasks related to the management of the FAO Digital Media Hub.

Tasks and responsibilities

•    Identify and prioritise audiovisual content for high-quality metadata.
•    Support OCC content teams and other FAO teams producing metadata and assist in uploading assets to the FAO Digital Media Hub (FAO’s Digital Asset Management platform).
•    Conducts quality control of audiovisual material metadata, adding and adjusting data required for the Digital Media Hub.
•    Process and index high-quality content according to established workflows for media, newsroom, and organizational use.
•    Provide expert copy editing to write and review captions, add metadata to photo files and research project information to inform incoming material.
•    Contribute to audiovisual management guidelines and conduct training and skill-sharing sessions.
•    Provide practical support and advice in processing local content collections including archival and analogue assets.
•    Propose and implement improvements to legacy data.
•    Thesaurus management and support including Keywording / Tags adjustments to improve search.
•    Maintain descriptive metadata standards for all digital assets to ensure consistency.
•    Ongoing bug fixing and maintenance and communications with Vendor software team.

CANDIDATES WILL BE ASSESSED AGAINST THE FOLLOWING

Minimum Requirements

•    University degree or diploma in Library Science or relevant field.
•    1 years of relevant experience working with digital asset management systems and descriptive metadata.
•    Working knowledge (level C) of English and limited knowledge (level B) of another FAO official language (Arabic, Chinese, French, Russian or Spanish). For PSA, working knowledge of English.

Technical/Functional Skills 

•    Familiarity with IPTC metadata standards.
•    Database entry with reference to controlled vocabulary and metadata schema.
•    Support Digital Asset Manager in platform maintenance and communications with software team.
•    Experience inputting complex processes for digital visual assets.

Selection Criteria

•    Experience handling variety of audiovisual file formats.
•    Experience with institutional repositories.
•    Expert English-language copy editing skills to write, review captions, add metadata to photo files and research project information to inform incoming material, with an understanding of FAO programmes, priorities, and terminology, current affairs.
•    Strong interpersonal skills and an ability to develop strong relationships with stakeholders across the organisation.
•    Previous experience using the Orange Logic Cortex platform.
•    Experience training colleagues in use of software.
•    Knowledge of the legal rights to media usage.
•    Knowledge / expertise in audiovisual content related to Agrifood systems.
•    Library/taxonomy or subject specialist (food & agriculture).
