Organizational Setting and Reporting Relationship
The position of Secretariat Administrator is assigned to the Office of the Secretary (SEC). SEC is responsible for providing strategic and operational support to the ADB, the Board of Governors, and the Board of Directors. You will be based at out Headquarters in Manila, Philippines.

You will report to a designated International Staff.

Your Role
As the Secretariat Administrator, you will provide comprehensive administration and coordination support to the day-to-day activities of the Board of Directors (BOD) to ensure the smooth and efficient functioning of BOD operations.

You will:

  • Assist in managing BOD elections for regular and mid-term vacancies, and prepare briefing materials for new members
  • Manage Board database and systems and assist in updating the Administrative Handbook for Directors and Alternates and other guidelines, as necessary.
  • Oversee administrative arrangements for incoming and outgoing Board of Directors, providing timely guidance on appointments and repatriations, compensation, leave, and official travel.
  • Facilitate Director’s Advisors onboarding and offboarding.
  • Assist in planning and organizing Board Group Visits and Board Familiarization Visits, including reviewing cost estimates.
  • Assist in the organization of the Board and Management Retreat.
  • Provide back-up support to BOD budget preparation and administration.
  • Provide back-up support to the Protocol Team.
  • Act as liaison between departments and the Board, addressing inquiries and providing guidance on policies and practices and other administrative matters.
  • Conduct research and analyze administrative policies and procedures of other international financial organizations.
  • Provide administrative support for Board Committee meetings and events, including the Annual Meeting of the Board of Governors.
  • Support the department’s knowledge management activities, and other projects and initiatives.
  • Perform other tasks as may be assigned and reflected in the incumbent’s work plan.

Qualifications

You will need:

  • Bachelor’s degree in economics, business management, social sciences, or related fields.
  • At least 5 years of relevant professional experience.
  • Keen attention to detail and a demonstrated ability to maintain accurate records and coordinate across multi-disciplinary teams.
  • Strong interpersonal and relationship management skills, ability for collaboration and team approach, and strong client and impact orientation.
  • Ability to respond to client demands with a combination of tact and firmness. Ability to maintain composure under pressure.
  • Demonstrated problem-solving skills and solution-oriented approaches.
  • High degree of responsiveness and reliability.
  • Strong ethical standards, confidentiality, and professionalism in handling sensitive information.
  • Excellent oral and written communication skills in English.
  • Proficient in MS office applications, and familiarity with computer systems used in ADB.
