Finance Assistant (temporary, part-time)

We’re seeking a Finance Assistant to join our Finance and Budget (FAB) department on a temporary basis for 20 hours per week, to cover for parental leave. The chosen candidate will be responsible for supporting day-to-day financial transactions and financial control activities. The role will involve ensuring timely completion of tasks in alignment with institute policies and procedures.

MAIN DUTIES AND AREAS OF RESPONSIBILITY

  • Process accounts payable and manage supplier communication.
  • Execute bank transfers and handle petty cash transactions.
  • Process U100 forms, provide IIASA-specific VAT information, and submit tax reimbursement claims.
  • Reconcile reimbursement claims and maintain bookkeeping records.
  • Record income and expenses, maintain the general ledger, and book internal and external invoices.
  • Maintain filing systems and perform other assigned duties.

  • High School Diploma or equivalent in business/accounting and/or training in accounting.
  • Good understanding of accounting practices and bookkeeping procedures.
  • Proficient IT skills including use of MS Office products, with strong skills in Excel.
  • Fluency in English (written and spoken), and a good working-level of German.
  • High degree of accuracy and attention to detail.
  • Analytical and numerical skills.
  • Good interpersonal and communication skills on all levels.
  • Good data collection, record-keeping, and analysis skills
  • Demonstrated ability to work well independently and in close cooperation with a team, and maintain professional and productive relationships with colleagues from diverse nationalities and backgrounds.

appointment terms

The selected candidate should be available to take up the position in June 2024 or as soon as possible thereafter. We will offer an initial part-time (20 hours per week) employment contract for one year with the intention to extend this for the duration of the parental leave this post will cover (anticipated to be until April 2026).

Duties will be carried out at the IIASA premises in Laxenburg, Austria.

The gross annual salary will be EUR 18,000.00 (50% of EUR 36,000.00), which is exempt from income tax in Austria.

The advertised salary is:

  • Subject to deductions for health insurance and/or social security.
  • Not directly comparable with other employers in Austria, due to the unique legal status and privileges granted to IIASA.
  • Subject to the principle of income aggregation (Progressionsvorbehalt in German).

In addition:

  • Educational subsidies for children of school age enrolled in private schools in Austria.
  • A generous annual leave entitlement.
