JOB DESCRIPTION

Org. Setting and Reporting
This position is located in MINUSCA within the office of Chief of Service Delivery. The Logistics Assistant reports to the Chief Service Delivery on daily basis and work closely with the front office team of Chief Service Delivery.
Responsibilities
Within delegated responsibility, the Logistics Assistant will be responsible for performing the following duties: LOGISTICS SUPPORT and COORDINATION: • Identifies all routine logistics requirements within the mission, prepares, implements and controls appropriate methods to cater for them, ensuring optimal utilization of available resources; • Provides logistical and operational support to mission clients in terms of allocation of stock within the warehouses, initiating the movement of stock internally and initiating the physical count.; • Participates in generating an effective and efficient logistics planning and coordination with all Mission logistics related stakeholders and clients; • Reviews Mission’s logistics implementation plan and operational directives to develop effective deployment plans and prioritization for goods and materials movements to mission location; • Participates and ensures the development of logistics emergency, contingency plans and identifies ways to overcome obstacles when delivering goods. TRANSPORT/MOVEMENT MANAGEMENT: • Coordinates the provision of ad-hoc transportation requirements including staff movement for duty purposes.; • Coordinates and ensures assignments for the cooperative use of equipment with UN agencies, funds and programs; • Researches and analyses operational usage and performance trends, legal, administrative, and legislative requirements, supports the development of training for staff and other mission personnel as required; • Prepares documentation and reports for review of mission material and asset holdings including vehicles, for senior management review and decision making; • Completes periodic reports and documentation regarding provision of logistics support;
ASSET MANAGEMENT: • Ensures that all inbound shipments are properly verified (receipt and inspection) and processed accurately in Umoja; • Monitors stock levels and provides reports to technical sections/units in accordance with the replenishment requirements; • Assists in consulting technical sections/units to identify surplus assets. • Conducts regular and ad-hoc physical inventory of property under the Unit’s responsibility; • Maintains records and adjusts discrepancies in asset and inventory records in UMOJA or similar ERP system, and prepares reports on asset holdings, including in UMOJA or ERP Business Intelligence; • Actions warehouse transactions in UMOJA or similar ERP system, including data cleansing and changing storage locations; • Ensures compliance with established property management and inventory key performance indicators (KPI), including both physical and in UMOJA, and maintains frequent liaison with HQ-NY counterparts to this end. Administration • Assists in consulting technical sections/units and RMCU so that BOA/OIOS comments are addressed. • Conducts regular and ad-hoc Budget performance report for all SD Sections. • Reviews all incoming documents submitted to the office of CSD and provide feedback/guidance to the sections on the same. • Provides advise to technical Sections and SCM on distribution lists for placement of new inventory based on known and future projects dispersion including proposing changing of storage locations, as and when required. • Attends meetings and prepare/share notes/minutes of the outcome and monitor the implementation for the compliance. • Acts as the secretary of the front office the CSD. • Perform other related duties as required.

Education
A high school diploma or equivalent is required.
Job – Specific Qualification
A Valid Driver’s license, including the ability to operate a manual/transmission light vehicle in 4/4 condition is required. Technical or vocational certificate in logistics, transportation or asset management is required. Technical certification/diploma or other supplemental academic qualification or training in the field of supply chain management and/or engineering is desirable.
Work Experience
A minimum of five (8) years of progressively responsible experience in remote Logistics Support Operations, Supply, Supply-Chains Management is required. Experience is administration is desirable. Work experience in the front office setup of UN official or similar is desirable. Work experience in supporting to Urgent/Military Operations in conflict/post conflict area away from home country is desirable.

English and French are the working languages of the United Nations Secretariat. For this post, fluency in English is required.
