JOB DESCRIPTION

The Support Officer is responsible for implementing the Administrative, HR, Finance, and Logistics procedures and policies by supporting NRC Palestine Hebron Office staff and visitors, including office management and any task with its job description responsibility required by the line manager.

Specific responsibilities in HR and ADMIN:

  1. Management of the Field office premises.
  2. Supervise the performance of cleaners, Ensure the office is kept clean, liaise with cleaners and follow up on any reported issues, including maintenance and repairs.
  3. Responsible for booking meeting rooms and external venues as required
  4. Managing field office consumables (cleaning supplies, stationery) replenishment, storage, and stock releases.
  5. Follow up on the lease agreements for all premises for the field offices and coordinate with the WB AO Logistics on the identification, preparation, renewals, terminations, and rents, addressing issues with Landlords.
  6. Responsible for premises utility payments and tracking, reconciling and coordinating payments with Finance and Logistics.
  7. Act as the focal point for submitting Purchase Requisitions (PRs) for the field Office administration-related needs, including printing, visibility, kitchen supplies, office needs, workshops, etc.

Specific responsibilities in FIN and LOG:

  1. In collaboration with the WB AO finance unit, manage the petty cash for the field office, ensuring timely and accurate record-keeping and reporting.
  2. Prepare financial documents such as invoices, bills, and accounts payable and receivable; File finance-related documents promptly and maintain an adequate filing system of financial records as instructed.
  3. Assist WB AO logistics in researching and interacting with vendors and indicate prospective vendors for projects and the office; collect and prepare quotations [price offers] and other supportive documents for vendor selection.
  • Minimum of 3 years of relevant experience in a Support Services roles
  • Bachelor’s degree in management, finance, development or equivalent
  • Previous experience working in complex and volatile contexts.
  • Previous experience in an NGO environment will be an asset
  • Fluent in English, both written and verbal.
  • Proficient in MS Office (Word, Excel, PowerPoint, Outlook)

This position is Grade (05) Step (01). Salary & Benefits are based on Jerusalem/WB Duty Station.
