The United Nations Refugee Agency (UNHCR) is the world’s leading organization in helping and protecting the millions of people forced to flee their homes because of violence, conflict and persecution. We deliver life-saving assistance, including shelter, food and water while also safeguarding fundamental human rights, safety and dignity.

UNHCR is almost entirely funded by voluntary contributions from governments and private donors. Private Sector Partnerships (PSP) Americas is one of the five regions of the PSP unit under the Division of External Relations, with the remit to increase awareness of UNHCR and raise funds from the private sector (individuals, corporates, foundations) in the region. The PSP Americas region has grown significantly during the past seven years and as part of this growth has expanded its operations in the US, Canada, Mexico, Brazil and Argentina.

The PSP Finance Associate will support the PSP Americas Region in the implementation of a variety of tasks related to admin, finance and PSP Planning and Reporting. The incumbent will act as a key support point for PSP operational related actions and activities and will provide guidance on related policies and regulations. S/he will support in the development of simplified and streamlined PSP Americas processes with a view to reducing risk and the margin for human error through the application of automation.

Working closely with HQ and other internal stakeholders, the PSP Finance Associate will also support in overall monitoring of income and expenses, as well as with PSP planning, reporting and budgeting.

The incumbent also refers to UNHCR Manuals and relevant policy papers on financial issues. The PSP Admin/Finance Associate assists with the processing of financial transactions in Cloud ERP. S/he keeps frequent contact with staff at various levels in the office.

2. Purpose and Scope of Assignment

– Support in the financial process for in-house media buying as per the standard practices. This includes, but not limited to, support with media budget oversight and management, monitoring contract ceiling, support in processing REQs/POs/Invoices, and coordination with HQ stakeholders,
– Check the monthly accounts to ensure that disbursements are in accordance with UNHCR financial rules.
– Prepare detailed cost estimates and participate in budget analysis and projections as required.
– Support in the review of overall income and expenses for PSP region/unit and assist with preparation of annual, quarterly, mid-year, monthly PSP reports.
– Assist the supervisor with the preparation of PSP annual budget and financial planning, according to the budget formats provided by the Global Operations Section in Copenhagen
– Select and enter data from a wide variety of documents, verifying accuracy by checking sources, making necessary calculations and assuring inclusion of all relevant data.
– Support PSP staff in the region on financial rules and regulations in order to ensure compliance with UNHCR rules and procedures.
– Assist with the implementation of processes and procedures to improve and strengthen internal controls in line with UNHCR rules and regulations.
– Support offices in maintaining financial records and monitoring systems to record and reconcile expenditures, balances, payments, statements and other data for day-to-day transactions and reports.
– Support in Identifying, communicating and addressing financial risks and issues.
– Provide sound contributions to knowledge networks and communities of practice synthesizing of lessons learnt and dissemination of best practices in the finance area.

3. Monitoring and Progress Controls

The incumbent will participate in weekly check-ins with the supervisor and regular calls with the Admin colleagues in the region.

4. Qualifications and Experience

For G6 – 3 years relevant experience with High School Diploma; or 2 years relevant work experience with Bachelor or equivalent or higher

b. Work Experience

Essential

High level of IT affinity (MS Office applications, People Soft). Ability to work well under pressure on multiple tasks simultaneously, establish priorities and deliver quality output in a most time-efficient manger in support of PSP region/unit.

Desirable
• Experience working in the UN. Experience with PSP or interest in learning about PSP and understanding the operations. Knowledge of UNHCR policies and procedures related to admin, finance, HR and procurement. Experience with UNHCR systems. Understanding of the complexities of working with an international organization with multiple geographical operational sites.
• Knowledge and work experience of Cloud ERP Finance applications or similar applications. Good knowledge of UN/UNHCR Financial rules and procedures. Completion of UNHCR learning programmes or specific training relevant to the functions of the position.
• Bachelors or Master’s in finance, Accounting, or other finance-related field is considered an asset
• Relevant certification in financial management or accounting is an advantage.
