The World Bank Office in Ulaanbaatar is now seeking qualified candidates for the Team Assistant position, who will report to and be under the guidance of the Country Manager.

Duties and Responsibilities:

Under the overall supervision of the Country Manager, and day-to-day supervision of the Office Administrator, the Team Assistant’s duties and responsibilities will include, but not be limited to, the following:

• Operate the WBOU telephone switchboard; receive, screen and direct visitors to the appropriate WBOU staff.
• Check, confirm office expenses and prepare monthly VAT report.
• Receive visitors to World Bank Office by obtaining clearance from the personnel concerned.
• Process incoming faxes and ensure timely dispatch and appropriate distribution of messages.
• Update/maintain paper files of the office.
• Assist with travel hotel and visa arrangements.
• Provide back-up support to other team members as necessary, including the preparation of events and conferences.
• Handle outgoing and incoming correspondence of the office.
• Assist in maintenance of office inventory, overall office building, and prepare Asset Management Report-
• Support finance team in processing payments.
• Ensures security procedures are followed.

 

Selection Criteria

 

• Excellent organizational, administrative and customer service skills.
• General knowledge and ability of handling security role is an asset.
• Proficiency in both oral and written English.
• Ability to work effectively and collaboratively in a team-oriented environment.
• Ability to take initiative and work under the time pressure.
• Flexibility/willingness to perform a variety of tasks and expand the scope of work and responsibilities as needed.
• Excellent interpersonal and communication skills.
• Proficiency in the use of the technology packages (MS Word, Excel, PowerPoint, and web-browsing and searching for information).
• Minimum of bachelor’s degree preferably accounting background and at least two years of relevant work experience.
