Within limits of delegated authority, the Programme Assistant will be responsible for the following duties: ? Assists in the coordination of programme/project planning and preparation work for a medium-size and complex component of the Service and the Office in general programme/project initiatives. ? Monitors status of programme/project proposals and receipt of relevant documentation for review and approval. ? Compiles, summarizes, and presents basic information/data on specific programmes/project and related topics or issues, especially those funded by extra budgetary funds. ? Orients new staff to relevant administrative procedures and practices and provides general assistance to other office support staff, as required; may coordinate the work of office support staff in providing meetings servicing/administrative support to various sessions of commissions and other bodies. ? Maintains contact across DPPA-DPO Units, Peace Missions, Special Political Missions, UN Agencies if required and coordinate extensively with service units at UNHQ and in the field. ? Drafts correspondence, and processes incoming and outgoing correspondence submitted by the unit to the ASG, OUSG and EO DPO-DPPA as appropriate. ? Provides general office assistance; responds to complex information requests and inquiries; reviews, logs and routes incoming correspondence; sets up and maintains files/records; organizes meetings, workshops; handles routine administrative tasks, such as maintaining attendance records, leave recording, office supply and equipment orders, etc. ? Provides assistance in the coordination of service-wide activities (meetings, training, etc.), special projects and events. ? Manages, updates and further develops internal databases; generates a variety of standard and non-standard statistical and other reports from various databases. ? Carries out quality control function for outgoing documents; proofreads and edits texts for adherence for format, grammar, punctuation and style. ? Serves as an Umoja focal point. ? Maintains files (both paper and electronic) and databases. ? Responds to complex information requests and inquiries (e.g. answers requests requiring file search, etc.). ? Performs other duties as required.

Work Experience
A minimum of five (5) years of administrative experience in programme or project management administration, and office support or related area is required. The minimum years of relevant experience is reduced to 3 for candidates who possess a first-level university degree or higher. Experience in drafting and proofreading official correspondence is required. Experience using integrated information management systems, (such as Inspira, Umoja, Unite Docs) or other comparable systems is desirable. Work experience within the United Nations System or a similar international organization is desirable.
Languages
English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in oral and written English is required. Knowledge of another official United Nations language is an advantage.
