Purpose of Job

The Change Lead will work closely with staff in HROD, Change Champions, Internal Comms, as well our third-party transformation advisory partner working on the programme to deliver all change and engagement activities related to the roll out of the future HR TOM. The role will interact with staff of all levels up to senior management. The role will act as a key contact point for the workstream, they will work closely with the HR Solution Lead, HR PMO, Compass Programmme colleagues and will report to the Associate Director, HR Transformation in HROD.

Accountabilities & Responsibilities

As HR Transformation Change, Comms & TOM Lead the role holder will:

  • Be responsible for managing all workstream project activities and artefacts.
  • Manage the change, engagement, and training approach and deliverables
  • Identify, establish and engage with business and HR change network(s)
  • Works closely with the HR Solution Lead to support on change and communication activities in relation to the key solution changes such as the future Job Catalogue and Approval Frameworks.
  • Work with the Comms lead on the development and distribution of Compass HR communications
  • Manage and support change plans, including co-ordination across our Resident Offices
  • Manages leadership engagement at change forums
  • Conducts, documents and manages updates to change impact assessment
  • Working closely with the key stakeholders and our transformation advisory partner
  • Identifying, diagnosing and facilitating the resolution of risks and issues across the workstream and in collaboration with related workstreams
  • Ensure all the workstream activities associated with the design and build of the programme are correctly documented, audited and signed-off in line with compliance needs.
  • Responsible for the delivery and status reporting of the workstream

  • Provide input to stage gate artefacts as per the EBRD programme governance process including briefing and planning documents
  • Working with the HR Solution Architect and other workstream leads to ensure a consistent and cohesive solution design.
  • Prepare recommendations with supporting evidence and/or rationale to go to the programme steering committee for a decision

Act as a workstream lead, as directed, and single point of contact (SPOC)

  • Be responsible for the outcomes as well as the outputs of allocated workstream (i.e. deliver the valuable outcome, not just the task)
  • Apply the appropriate project management approach and principles including risk management, planning activities and status updating, in collaboration with programme PMO
  • Provide written and verbal updates on project process to a range of stakeholders at all levels as required (including daily stand ups and weekly team meetings) in collaboration with the programme PMO

Change & Comms

  • Conducts, documents and manages updates to change impact assessment for the new HR Solution
  • Develop and maintain a stakeholder map and conduct change readiness assessments
  • Develop a detailed change, training and engagement plan.
  • Develop change, comms, training and engagement templates to be used through the programme
  • Develop detailed user journeys
  • Develop and maintains detailed change management strategy and plan, and interventions
  • Establish and manage change network(s)

Manage relationships and stakeholders

  • Act as a trusted adviser and single point of contact (SPOC) for the Change and TOM workstream for the HROD department and other key stakeholders delivery of the HR Transformation
  • Co-ordinate and facilitate high quality engagement between all parties to interrogate and reconcile conflicts in order to secure buy-in and not just sign-off

Knowledge, Skills, Experience & Qualifications

Essential

  • Experience of delivering change and engagement activities for a SuccessFactors implementation (ideally full suite)
  • Strong understanding of change management methodologies, tools, and best practices, and the ability to tailor them to suit the unique needs of the transformation programme.
  • Knowledge of best practice change management methodology
  • Change impact assessment and planning experience in a back-office context
  • Change engagement and adoption techniques
  • Communications expertise
  • Experience of managing business and people change across large HR transformation programmes
  • Experience of working in a changing and complex environment
  • Ability to proactively build relationships with and influence key stakeholders to enhance engagement and effectiveness of the solution
  • Ability to produce high quality materials & communications
  • Can-do, excellence-by-default attitude which prioritises achieving required outcomes as opposed to outputs
  • Track record in leading on change management strategies and developing communications plans for HR transformations
  • Self-starting, proactive and collaborative approach to analysing and solving problems
  • User-centric mindset / UX-focused design.
  • Experience of working within Waterfall and Agile methodologies / frameworks
  • Clear thinker, sound analytical and problem-solving skills
  • Experience of communicating and working collaboratively with colleagues at all levels of the organisation to deliver sustainable change
  • Experience of working in a complex and political environment
  • Experience of working independently and proactively within tight deadlines
  • Excellent attention to detail, particularly in the context of document development and data analysis
  • Proven track record of managing and resolving competing priorities
  • Excellent written and oral English language skills
  • Bachelor’s degree or equivalent experience
