ROLE PURPOSE:

The position holder is responsible for managing and overseeing overall Warehouse management system in the assigned woreda including Daily/Weekly/Monthly Warehouse Inventory, planning, implementation, Update warehouse documents such as Ledger and Stack cards right after any commodity transaction. Warehouse Officer is expected to lead and ensure Responsible for receiving of food from Primary delivery point based on the incoming waybill and, food dispatching to the TSFP Woreda mini stores/ for distribution based on the approved DAM, practicing proper commodity handling at woreda warehouse (proper stacking, FIFO, using Plastic sheet, proper spacing, Daily inspection, physical inventory. Warehouse is responsible to Communicate the transporter ahead of the time and share the approved dispatch and distribution plan to ensure timely commodity dispatch to the TSFP Woreda mini stores.

SCOPE OF ROLE:

Dimensions:Save the Children works in – regions in Ethiopia with a current staff complement of approximately – staff and current expenditure of approximately $90+ million each year.

KEY AREAS OF ACCOUNTABILITY:

  • Work closely with the commodity officer for proper warehouse management such as physical condition of the warehouse, cleanliness of the warehouse, security and safety of the warehouses, availability of space for commodity receiving, availability of necessary warehouse equipment, availability of Daily labourers.
  • Responsible for receiving of food from Primary delivery point based on the incoming waybill and, food dispatching to the mini stores/ for distribution based on the approved DAM, practicing proper commodity handling at woreda warehouse (proper stacking, FIFO, using Plastic sheet, proper spacing, Daily inspection, physical inventory and so on)
  • Update warehouse documents such as Ledger and Stack cards right after any commodity transaction and make sure that they are reconciled with the source documents like receipt and dispatch Waybill.
  • Keep and file all the necessary warehouse documents (incoming and outgoing waybills, DAM, loss approval, loss disposal and so on) properly and adhere with the pre-determined reporting deadlines to submit all required reports showing woreda commodity transactions.
  • In consultation with the commodity officer, the incumbent is responsible for proper handling of damaged commodity, loss handling and loss reporting within 72 hours.
  • Before distribution commencing the RSK should know the location, capacity, and distance of the mini stores to help the transporter for smooth transportation of the commodity.
  • Communicate the transporter ahead of the time and share the approved dispatch and distribution plan to ensure timely commodity dispatch to the mini stores.
  • Mobilization of the community for commodity offloading at TSFP mini-stores and control and guide the process in proper manner.
  • Receiving the commodity at mini-stores and undertake proper checking of both quality and quantity of commodity against the approved DAM and the incoming waybill.
  • Dispatch TSFP commodity to the FOOD distributers during distribution date.
  • Update Ledger and stack card right after receipt of the commodity.
  • Ensure that all documents like Master list, Payroll, waybill, Outlet and DAM are filed at TSFP mini store level.
  • Take part on distribution activities and give support to Food Distributers until end of the distribution process.
  • Be responsible to hold mini-stores Key, ensure shared responsibilities with the Kebele officials mainly the Kebele Food Security Task Force members, invite community representatives and Food Security Task Force during receiving the food at Mini-stores to keep the commodity safe and secured.
  • Return back the undistributed balance to the woreda warehouse within 2 days by fulfilling required procedure and documentation.
  • Ensure TSFP mini stores are clean, free from Non-Food Items and infestation. On top ensure that proper stacking, usage of plastic sheet, proper spacing, physical inventory are practiced.
  • Ensure food not stayed more than two days at the TSFP mini store.
  • Provides a daily/weekly/and monthly Report overview of TSFP stocks supplied to Woreda Team Leader,
  • Manages the stock levels of therapeutic products, drugs and all other materials and alert the logistics in a timely manner as more materials are required.
  • Reports any problems in a timely manner to the Nutrition field coordinator,
  • Coaches and supervises the CMAM/IMAM, MHNTs, IYCF, SFP, OTP, SC program officer.
  • Responsible for effective logistic managements
  • Proper Store management.
  • Always upholds the image and values of SC,
  • Performs other related tasks as required and tasks assigned by the organization.

Qualifications:

    • BSC. in Logistics & supply chain management or Nursing/Human Nutrition (Senior Clinical/Public Human Nutrition or above).

Experience:

  • Minimum Four years working experience for BSC. and six years’ experience for Diploma holders out of which two-year experience directly related to emergency health & nutrition related fields.
