Organizational Setting and Reporting Relationship
The position of Senior Operations Assistant is assigned to the Advisory Division 1 (OMDA1) within the Office of Markets Development and Public-Private Partnership (OMDP). You will be based at our Headquarters in Manila, Philippines.

You will report to the Director, OMDA1 and/or designated International Staff and senior National Staff.

Your Role
As a Senior Operations Assistant, you will coordinate administrative activities and provide operational support for assigned teams. You will perform a full range of secretarial duties for Director, OMDA1 and designated international staff.

You will:
• Ensure that all correspondence and documents for supervisor/s are properly typed, prepared, submitted on time and in compliance with ADB’s standards.
• Provide efficient reception services by proper screening of queries, taking accurate messages, dealing with queries from internal/external callers to ensure they are referred in a timely manner to concerned staff.
• Ensures the effective coordination of supervisor’s/s’ schedules by maintaining their diaries and arranging appointments, meetings, travel and accommodation as specified by the supervisors and in accordance with ADB procedures.
• Organize and maintain electronic and paper files: Ensure that all documents and records are properly filed and easily accessible for future reference and in compliance with the Department File System and ADB’s Records Retention and Disposal Schedule.
• Assist with event planning and coordination: Help plan and coordinate events such as meetings, conferences, and workshops, including arranging for venues, catering, and necessary equipment.
• Manage and maintain office systems and technologies: Ensure that all office systems and technologies, including communication systems, hardware, software, and other equipment, are functioning properly and efficiently. Troubleshoot any issues that arise and coordinate with the IT department or external vendors to resolve them in a timely manner.
• Proactively identify potential issues or needs and provide early warning to supervisor/s and team members. Take initiative to address these needs or issues before they become critical, ensuring smooth operations and minimizing disruptions.
• Perform certain standard activities such as maintaining adequate stocks of office supplies as required.
• Relieve other Operations Assistants when they are absent, as required.
• Perform any other duties or additional tasks as requested by the supervisor as may be required, including but not limited to retrieving or creating relevant files/documents for reports, preparing statistics, tables and charts for reports or database, assisting in drafting of documents and presentation materials etc.

Qualifications

You will need:
• Bachelor’s degree
• At least 5 years of relevant work experience.
• Good memo composition and editing skills.
• Good computer skills and familiarity with IT systems used generally.
• Able to manage priorities and workload within general schedule of work, instructions and standardized practices.
• Able to maintain composure under pressure.
• Able to liaise and work effectively with internal and external clients.
• Able to work collaboratively with teams as a constructive team member, and work with individuals from different cultural/national backgrounds.
• Good interpersonal and communication skills.

Additional Information
(For internal/external) Staff on probation are not eligible to apply. Applicants for promotion must have served at their position for at least one year and must have normally served at their personal level for at least two years immediately preceding the date of the vacancy closing date. Applicants for lateral transfer must have served at their position and personal level for at least one year immediately preceding the date of the vacancy closing date (reference A.O. 2.03, paragraphs 5.8 and 5.9).

(For internal and external) This is a fixed term appointment with option to renew for an initial period of three (3) years following Section 3.1 (b) of Administrative Order No. 2.01 (“Recruitment and Appointment’). This appointment is not convertible to a regular appointment. At the end of the initial period, this appointment may be renewed for a period of up to three years, or not renewed. There is no limit on the number of renewals. This appointment is open to internal and external applicants.

(For internal) For staff on fixed term appointment: (a) the current fixed term appointment will be terminated before the effective date of the new fixed term appointment; and (b) a decision on their fixed term appointment will be made at the end of the new fixed-term.

(For internal) Staff who are currently under regular appointments but will transition to this position will retain their regular appointment status.

(For internal) All eligibility rules for housing loan and mortgage interest subsidy shall apply to staff on fixed term appointment.

(For internal) Any approved housing loan or mortgage interest subsidy prior to the change to fixed term appointment will continue during staff’s new appointment under the same terms and conditions, as applicable. The outstanding housing loan will be due and payable at the end of employment. All the other eligibility rules apply.
