Who are we?

The HQ Shared Support Hub is a new unit in HQ which is being set up with the purpose of improving support service delivery to units and departments implementing grants from HQ. The hub will provide operational grants management and finance support to implementing units in DK Integration, Department for Strategy, Programme and Learning (SPL) and The Stand-By Roster. The support hub will also manage Service-Level Agreements with other HQ departments governing their support to implementing units.

About the job

We are currently recruiting two SSH Grants Specialist, who will be responsible for administering a designated portfolio of grants implemented from HQ in accordance with donor and DRC regulations. The positions report to the Shared Support Hub Grants Team lead and collaborate closely with project managers/teams and Support Hub colleagues on all grants-related matters, compliance, and partnerships.

Daily Grants Management and Quality Assurance:

  • Efficiently manage and administer grant-related information, trackers, documentation, and processes in accordance with DRC Operations Handbook – Grants Management Volume, DRC’s Global Grants Management ERP system (Grants Card on DRC Dynamics) and Support Hub filing systems (OneDrive/SharePoint) for an assigned portfolio of grants.
  • Work in close coordination with DRC HQ Project teams/PMs to ensure high quality of data.
  • Facilitate grant kick-off, and close-out meetings ensuring donor compliance.
  • Lead implementing partner due diligence processes and administration in collaboration with project teams in accordance with DRC’s guidelines.
  • Actively participate in Global Grants Community Meetings to stay up to date with DRC Grants Management Best Practices as well as new regulations and requirements from donors.
  • Facilitate the timely signature of grant-related documents.
  • Provide advice to project team and SSH on DRC Grants Management Volume and Donor Compliance matters and raise any grants and contract management risks

Reporting and Proposal development:

  • Manage reporting/proposal workflows, processes, and deadlines in collaboration with project teams and the SSH ensuring correct and timely reports/proposals, as well as amendments.
  • Assist the Project Managers on communication, negotiations and coordination with donors and external stakeholders.
  • Review of all agreements before signature, seeking Team lead and finance advice when required and supporting negotiations with donors on contract terms.
  • Facilitating the signing of new grant agreements

Other

The Shared Support Hub is as mentioned above a new entity and we expect some adjustments to the specific roles in the Hub to happen over the first year, however the above is expected to remain main tasks and responsibilities.

Required

  • At least 2-3 years of experience in grants management/administration, preferably with an international NGO or other donor-funded organization. The position is at junior to intermediate level.
  • Understanding of grants management and the grants management phases, including the related financial management and budgeting.
  • Relevant work and/or academic background.
  • The ability to work under time pressure with many simultaneous tasks, and work in a multicultural environment.
  • Proactive, flexible and detail-oriented approach to tasks and a service minded approach
  • Fluency in English (speaking, writing, reading) is essential. Communication skills in other DRC languages is an advantage.
  • Proficiency in Microsoft Office and other relevant software, including Word, Excel, and PowerPoint.

Desirable

  • Experience and flair for working with Grants Management systems and business intelligence /analytics.
  • Experience working with administration related to implementing partners (assessments, agreements and similar)
  • Competence in providing technical guidance and training.

Salary and conditions will be in accordance with the agreement between DRC and AC. The position is at “fuldmægtig” level. This is a national position for which local terms and conditions apply.
