ABOUT THE JOB

The prime objectives of support service assistant are to answer support service (HR/Admin, Finance, Logistic and IT) questions quickly and effectively, resolve issues with empathy and care, document pain points to share with internal teams and also the main objective of support service assistant is to ensure effective service delivery in suboffice and will work closely with the HR/Admin, Finance and IT and support the implementation of operation services of field office.

Responsibilities:

HR/Admin

  • Understand standard HR practices, policies and procedures, take primary responsibility to run the Admin and HR functions according to the DRC Operations Handbook.
  • Ensure new team member receives required equipment (computer, phone, desk, email addresses, Identity cards etc) on 1st day of reporting.
  • Ensuring good record of staff attendance sheets, leave request forms, and track staff attendance and leave records.
  • Office management and making sure office environment and guest houses look neat and professional
  • Monitor consumables, stationery, and cleaning materials for the office/ residence

IT

  • Diagnosing and solving hardware/software failures.
  • Focal point to Internet service provider to DRC all facilities
  • Running network applications to support the system and users.
  • Conducting electrical safety checks on computer equipment

Finance

  • Prepare the request for money to be transfer to the bank account.
  • Ensure usage of relevant budget line and project when cost booking takes place.
  • Ensure proper filing system for financial documents.
  • Ensure that all documentation is prepared in a transparent and accountable manner.

Logistic

  • Support the Procurement department with completing multiple procurements to deadlines and ensuring all relevant paperwork is completed and up to date
  • Coordinate closely with Finance department to ensure all documentation is correct for payments of suppliers
  • Ensure that Order Requests are correctly filled, and it is authorized correctly by authorized person.
  • Collect quotations and produce Purchase Requests following DRC procurement processes

Key Deliverables: (in bullet points)

  • To maintain good record of HR files such as:
  • Organized filling system (Personal files, Attendance tracking, Leave management/record, timesheets and etc);
  • Systematic onboarding of all new staff
  • Scanning and Archiving (Hard and Soft copies)
  • Supporting Payroll process
  • Providing HR assistance

To be successful in this role you must have:

Experience and technical competencies:

  • At least one year of work experience in professional settings.
  • Strong communication skills, both verbal and written.
  • Experience working in multi-cultural work settings.
  • Ability to establish and maintain good working relationships in a multi-ethnic

Education/qualifications:

  • University degree with a focus on business administration and/or human resources management, or similar field.
  • Possess excellent written and verbal communication skills in English, Dari and Pashto.
  • Basic computer literacy in MS Office packages.
  • Well organized and proactive approach to work.
  • Highly motivated for his/her professional and academic improvement

Languages:

  • Professionally understand (read and write) Pashto and Dari.
  • Excellent understand of English (Communication and writing skills).
