ABOUT THE COMPANY:

Nairobi is the headquarters duty station for the United Nations Human Settlements Programme (UN-Habitat) the United Nations agency mandated with ensuring better urban future by promoting socially and environmentally sustainable human settlements development and the achievement sustainable development goal 11 (SDG 11). Although the mandate of UN-Habitat is global, the agency has placed special emphasis on working for the benefit of the host country through contributing to Kenya’s development priorities in a variety of ways.

UN-Habitat Regional Office in Africa (ROAf) located in Nairobi, Kenya, is supporting priorities of member states and governments to achieve sustainable urban development. Implementation of Kenya programmes is carried out within the ROAf.

 

JOB SUMMARY

 

Result of Service
Deliver monthly acquisition reports in a timely manner; ensure core contribution records are maintained and updated precisely; collaborate and consult to develop a regular donor reporting calendar and ensured its is maintained and updated, ensure compliance with donor reporting requirements which must be at a minimum of 70% compliance rate; produce invoices, receipts and acknowledgement letters are prepared in a timely manner.

Duties and Responsibilities

The United Nations Human Settlements Programme, UN-Habitat, is the agency for human settlements.

It is mandated by the UN General Assembly to promote socially and environmentally sustainable towns and cities with the goal of providing adequate shelter for all.

The Donor Relations and Strategic Resource Partnerships Unit of UN-Habitat is responsible for building and maintaining relationships with donors and mobilizing resources for the organization’s projects and programmes. The Unit works closely with other units within UN-Habitat to ensure effective and efficient utilization of donor resources. This post is located in the Donor Relations unit.

The incumbent will be supervised by the Head of Donor Relations and Strategic Resource Partnerships Unit coordinating the work of the team, under direct supervision of the Director (a.i), External Relations, Strategy, Knowledge & Innovation Division & Chief of Knowledge & Innovation Branch.

The expert will work in proximity to the other members of the team as well as other units, sections and offices across the Agency. Under the direct supervision of the Head of Donor Relations and Strategic Resource Partnerships Unit the consultant will: Duties and Responsibilities The consultant’s main responsibility will be to deliver on specific activities related to UN-Habitat’s Donor Relations unit.

1. Monthly Reporting: Develop and maintain comprehensive monthly income acquisition reports by analyzing data on grants acquisition.

2. Contribution Management: Monitor, record, and assess core contribution commitments. Examine receipts of core contributions and coordinate with the finance unit to ensure accurate record-keeping. 3. Coordination with Finance: Coordinate with the finance team to prepare receipts and promptly send acknowledgment letters upon receiving funds. 4. Invoice Creation: Build complete donor invoices as requested, ensuring accuracy and prompt delivery.

5. Donor Communication: Prepare official correspondences to donors to address inquiries, express gratitude, and provide requested information.

6. Grant Compliance: Maintain detailed records of the reporting requirements for active grants, ensuring compliance and proactively resolving any issues that may arise. 7. Donor Engagement Materials: Develop and maintain materials to support key donor engagement and relations, including meeting and technical materials as requested by donors or the supervisor. 8. Database Management: Create and maintain the donor information database, ensuring accurate and up-to-date information.

Qualifications/special skills

University degree in communications, Data analytics, Information Management, international development or any other related course is required A minimum of 3 years of combined professional experience in the private sector, development organizations, in the areas of client relations, funds / grant management, or above mentioned work areas is required.

Proven technical experience in report writing on various topics Proficiency in Microsoft Excel is required.

Languages

English and French are the working languages of the United Nations Secretariat.

For this position, fluency in English (both oral and written) is required.
