JOB DESCRIPTION

Job Summary

MIGA’s operations VPU (MIGCO) is currently recruiting a Program Assistant on Extended Term Temporary (ETT) contract, with excellent administrative, organizational, and interpersonal skills to join the team in Washington DC.

The successful candidate will be responsible for providing effective and high-quality administrative support to the sector team, working closely with the Vice President of Operations Front Office and other team members within MIGA and The World Bank Group to ensure smooth operations.

The ETT will report to the Manager of Operations – Strategy.

  • High school diploma and a minimum of 7 years of work experience in a large international organization or equivalent combination of education and experience (e.g., bachelor’s degree and 3 years of experience).

  • Thorough knowledge of Bank Group policies, procedures, and practices, including a good understanding of MIGA operations.

 

 

  • Good knowledge and understanding of administrative/operational procedures applicable to the World Bank Group and other operational support functions (e.g. database management, knowledge management, task management, major event, etc.) and ability to apply relevant procedures, processes, and systems.
  • Advanced working skills in multiple computer software applications (e.g., Microsoft Office Suite, Outlook, Webex, Teams, SAP/Admin Portal).
  • Excellent office support and organizational skills, including being proactive and demonstrated ability to prioritize and deliver assignments in a timely manner, often under severe time pressure.
  • Dedicated team player with a high degree of motivation, initiative, reliability, and willingness to help others to meet the Department’s work objectives
  • Flexibility to perform a variety of tasks and expand the scope of work and responsibilities.
  • Experience in event planning and organization.

 

  • Proactive attitude, quick learner, self-starter, attention to detail, and ability to work with staff at all levels (inside and outside the World Bank Group).

 

Responsibilities

  • Provide a full range of administrative support to the Manager of Operations and team.
  • Support the Manager by managing calendars, coordinating schedules and meetings.
  • Organize travel of the Manager and the team members, and process trip expenses.
  • Independently and effectively manage unit workflow, and follow up on issues and deadlines.
  • Provide logistical support to the team as well as the VP Front Office various events including learning sessions, focus groups, conferences and Panel discussions (arranging webEx/ Teams, catering, etc.), and help with the simple design and layout of event announcement.
  • Prepare, process, and handle various information and data of sensitive and confidential nature.
  • Draft, edit, and format documents, statements, and correspondence.
  • Prepare relevant background materials for meetings and briefing books for Spring and Annual Meetings.
  • Provide general research support and independently assess tasks, inquiries, and process requests.
  • Assist with onboarding, mentoring of new hires to the unit, provide guidance on work processes in accordance with the MIGA office procedures and guidelines.
  • Assist in editing and formatting reports, presentations, and correspondence in accordance with MIGA guidelines.
  • Assist with HR recruiting process including set up and coordinate shortlist meeting and all panel interviews.
  • Handle resource management activities including executing transactions in Admin Portal, issuing purchase order for goods and services.
  • Maintain an effective filing system for the Manager and Unit.
  • Provide back-up to the Sr.

Executive Assistant at the VP of Operations Front Office, and assist the EA when there was a need.

  • Work and collaborate well with the Sr. EA to the VP in managing the overall VP Front Office was managed well – to ensure there is a good coverage in the Front Office.
  • Provide ad hoc duties may be assigned by the Manager, or which may arise from the VP Front Office due to heavy work periods.
