Project coordination and management

  • Manage the team that is responsible for the implementation of the project in their designated operation areas.
  • Following the agreed upon plan of action, implement the program to schedule, reporting any delays and deviations and troubleshoot as is appropriate.
  • Maintaining and supporting 4 MHNTs to provide primary healthcare services in Zindajan earthquak affected areas.
  • Request and follow up procuring and distributing medical/non-medical supplies to the health centers
  • Make sure that medical and non-medical supplies are delivered and used as per the need, specification and design
  • Ensure the project’s implementation is moving forward smoothly considering the budget, time frame and scope
  • Implementing a supportive supervision system to enhance health service delivery
  • Make sure project execution is moving forward as per allocated budget, and any underspending or overspending will be circulated with relevant departments, programs, finance and operation.
  • Sustaining Child-Friendly Spaces and offering psychosocial support for children
  • Providing case management and protection assistance to vulnerable children
  • Conducting parenting skill development sessions and strengthening community-based child welfare committees
  • Facilitate stakeholder engagement and coordinate with relevant partners, including the international & national NGOs as well as local communities
  • Ensure compliance with project policies, procedures, and donor requirements
  • Manage the project’s budget and financial reporting
  • Oversee the monitoring and evaluation of the project’s progress and outcomes
  • Initiate and manage the beneficiary registration and verification processes.
  • Plan and monitor all field activities, i.e.appointments, meetings, distributions, monitoring and beneficiary follow-ups.
  • Ensure that vendors are selected as per the agreed criteria.
  • Facilitate installation and maintenance of data management systems –and ensure that the responsible staff are adequately trained and supervised.
  • Work closely with the Supply chain department to ensure timely procurement and delivery of project resources.
  • Ensure accurate paperwork is provided for processing of vendor payments
  • Ensure that the project team well understand their budget, target beneficiaries and goals
  • Make sure that the team are well aware of their responsibilities and accountabilities about their roles and titles
  • Ensure internal coordination and communication are well set among the project teams.

Reporting, Administration and financial

  • Prepare plan and report of the activities progression and submit to the zonal manager.
  • Create and present monthly summaries of project activities to the zonal managers in concerned province.
  • Ensure that monitoring and information management tools are up to date and contain all relevant information.
  • Develop provincial procurement plan and monitor procurement status of all project items.
  • Make sure project six months reports are prepared and submitted to relevant departments timely
  • Coordinate activities of all staff under the project.
  • Organize and supervise the food in kind distributions in the field.
  • Regularly review the project financial report and revise the project budget in case of need on the budget change.
  • Ensure proper completion and safe return of all tally documents and beneficiary lists to the office for safe storage.
  • Ensure COVID-19 prevention protocols are followed and adhered to in all project related gatherings
  • Perform any other duty that may be assigned from time to time.

Documentation and Reporting:

  • Ensure proper documentation of project processes is upheld, i.e.distribution plans, beneficiary lists, voucher requisition, distribution reports, working with all stakeholders.
  • Prepare and submit timely and period reports (monthly, quarterly), management reports, and other reports as needed.
  • All information, data and reports generated in this project belong to WVI. Therefore, it is mandatory to take care all the information especially the key documents and back up the information on regularly basis.
  • File all contracts and agreement with communities.
  • Under the guidance of MEAL Coordinator, establish the Complaints response mechanisms (CRM) at community level.
  • Handle community complaint promptly and responsibly.Ensure all complaints are registered and filed. Record action taken to resolve complain.

Security

  • Ensure that organizational security measures and directives are integrated into project.
  • Alter project methodologies as necessary to accommodate changing security situations, and ensure the donor is informed/modifications are requested.
  • Monitor the security situation on a daily basis, report as necessary and adjust national staff travel plans as required.

Other

  • Adhere to WV Child and Adult Safeguarding policy and standards.
  • Adhere to WV accountability standards.
  • To be aware and prepared to implement WV Afghanistan Humanitarian and Emergency Affairs plan in Herat
  • Required Professional Experience
  • At least 5 years of experience in project management positions.

Required Education, training, license, registration, and certification

MD degree, Master degree in related field is preferred.

Good report writing skills in Dari and English. Strong staff management and communication skills. Ability to engage with different stakeholders and partners in the project site. Interpersonal, management and conflict resolution skills. Must have good attention to detail, all work must be checked.

Travel and/or Work Environment Requirement

Accessibility to the below mentioned areas/locations is required:

Obe, Pashtoonzarghoon and Zendajan districts of Herat.

Physical Requirements

To be able to travel to remote districts and areas of Herat.

Language Requirements

Fluency in English, Dari and/or Pashto, both written and spoken

Preferred Knowledge and Qualifications

  • Ability to work in a team environment.
  • Ability to travel to all districts of Herat (where applicable).
  • Strong monitoring skills.
  • Communication skills and knowledge of local communities.
  • Familiarity with context of Herat province (where applicable)
  • Good report writing skills.
  • Ability to engage with different stakeholders and partners in the project site.
  • Interpersonal, management and conflict resolution skills.
